Patient Services Specialist (Internal Medicine)

Position Description

This position is responsible for assuring smooth operation of the clinic patient flow. Employees serve as primary contacts for patients and are responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees may have cash handling responsibilities.

Major/Essential Functions

Greets patients and visitors in a professional, respectful, and courteous manner
Systematically arrives patients
Updates demographic and information on Centricity Business
Collects for procedures, copays, and outstanding balances and ensures funds are deposited error free on a daily basis
Checks Phreesia on a daily basis for demographics and appointment alerts
Open visit note per department protocol
Maintains provider schedules with approved updates and changes
Schedules/cancels patient appointments
Ensures Consent to Treatment and other pertinent forms are properly completed and scanned to the patient's EMR chart
Creates phone notes per patient's request, schedule appointments, print lab orders for patients, scans received forms and referrals, provides documentations to be picked up by patients, and provides directions to patients
Calls patients to confirm appointments for the following day
Calls patients that did not show up to the appointment and reschedules appointment
Documents action in EMR
Generates no-show letters when unable to reach patient by phone
Works on bump list to ensure that all patients get rescheduled
Notifies patients of their new appointment
Sends letter with appointment after three documented phone attempts
Verifies insurance coverage with various health plans as needed
Ensures that provider is in-network with health plan
Sends patient's duplicate accounts to duplicate portal for review
Other duties assigned by supervisor

Required Qualifications

A High School diploma or GED
1-year Customer Service, office, or related experience
Additional education may substitute for the experience requirement

Preferred Qualifications

Bilingual preferred (English/Spanish)
Great customer service and multi-tasking skills
Insurance verification and pre-authorization experience is preferred
2-3 years of experience in medical office/terminology
