POSITION SUMMARY
Threshold Brands is a private equity sponsored, multi-brand franchisor with brands that generate sales in excess of $250 million annually. All of our brands provide services for the homeowner. Today, we are 9 brands strong, including MaidPro, Men in Kilts, Patio Patrol, Pestmaster, USA Insulation, Plumbing Paramedics, Heating Paramedics, Granite Garage Floors and Sir Grout. We are recruiting for an experienced, driven, autonomous payroll specialist to join the Threshold Brands team. This role is 100% remote.
As a Payroll Specialist, you will: (a) perform functions to process multi-state/multi-location payroll (including Canada) using various payroll schedules in accordance with Company policy and in compliance with all federal, state and local regulations, (b) act as the primary manager of the payroll function, (c) manage and monitor compliance with federal, state and local laws, (d) coordinate payroll transactions to ensure proper cash management, (e) work to improve payroll processes and systems and (f) perform various analyses of all payroll accounts. Additionally, you will work in conjunction with local payroll representatives across our brands to monitor the input of payroll data and prepare payroll.
REQUIREMENTS:
- Significant previous experience with Paychex payroll, reporting and compliance.
- Willingness to be hands on (This is not a supervisory role).
- Ability to work Eastern Standard Time Hours with flexibility given the broad geographic nature of the business.
KEY RESPONSIBILITIES
- Create, document and implement payroll best practices, controls and processes.
- Administer timekeeping systems (i.e. approvals and sign offs for hours, schedules, Paid Time Off and adjustments) in preparation for the payroll interface. Run reports and upload timesheet data as required.
- Review and process all personnel transactions including but not limited to: salary increases, and bonuses & commissions.
- Transmit payroll data and when necessary, request voids and direct deposit reversals via payroll system.
- Prepare, calculate and enter payroll data into payroll system(s) (i.e. retroactive pay, adjustments, timesheets for smaller companies and bonuses) and oversee the same for additional brands.
- Assist Human Resources in the management of the 401(k) program for payroll purposes.
- Assist various managers in troubleshooting payroll issues as needed.
- Initiate and manage withholding and unemployment registrations via payroll systems.
- Complete payroll reconciliation summaries to verify tax liabilities against payroll summary registers. Responsible for auditing quarterly and yearly tax information. Work to make updates to the system and resolve any discrepancies with the taxes.
- Assist with worker’s compensation audits.
- Prepare requests each pay period to initiate and process cash transfers and provide documentation for funding benefits, 401K and other payroll expenses.
- Assist employees and managers in answering all payroll related questions.
- Work closely with Human Resources and maintain complete confidentiality.
- Work with Human Resources benefits administration to ensure proper billing reconciliation.
- Work with Paychex to ensure all federal, state and local tax authority filing compliance requirements are timely and accurate.
- Prepare and/or record all payroll and provider payment entries in the Company’s financial system on a timely basis.
- Perform analysis and ad hoc research as needed.
EXPERIENCE AND SKILL SET
- Experience working with payroll in a multi-site, multi-state, corporate environment.
- Minimum 4-6 years of experience processing electronic based payroll for minimum of 150 employees.
- Attention to detail.
- Knowledge of state and federal laws pertaining to wage and hour, wage garnishments and taxes is required.
- Canadian payroll experience a plus.
- Advanced knowledge of Microsoft Office including Word, Excel, and Outlook.
- Experience with QuickBooks, NetSuite or other comparable accounting software.
- Strong report writing skills, attention to detail, excellent analytical and problem-solving skills are essential.
- Strong organizational and time management skills.
- Bachelor's degree or CCP Payroll Certification preferred.
- Experience with time tracking systems
- Prior experience with any of the following HRIS/Payroll systems strongly preferred, Bamboo, Paychex, ADP, Paycor, Octagon.
