Jean-Georges Management Seeking an experienced Personal Assistant to support one of its Executives.

POSITION SUMMARY

The role of Personal Assistant will have duties split between managing the calendar and day-to-day tasks for the President of well-established restaurants as well personal assistance and household management at a private residence. The position entails both personal assistant duties as well as office/administrative support for both the President and family. Candidate should be highly organized, and motivated and flourish in a fast-paced, demanding environment.

ESSENTIAL RESPONSIBILITIES (these are not all-inclusive):

  • Work closely with the President to coordinate any and all personal needs.
  • Respond in real-time to urgent inbound requests and scheduling updates.
  • Provide high-level administrative and clerical support.
  • Arrange and support with travel and accommodation as needed.
  • Work in conjunction with the President’s Executive team to ensure that nothing is overlooked in her personal or professional calendar, including family events, household needs, etc.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response while in constant communication with the President.
  • Ensure priorities are managed; daily and long-term requests are addressed.
  • Organize and maintain filing systems.
  • Draft correspondence and prep mailings.
  • Schedules and attends meetings as needed, taking notes and recording minutes.
  • Receive incoming communication or memos – review contents, determine importance, and summarize and/or distribute contents.
  • Help with special projects as assigned.
  • Perform office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.

  • Perform additional duties as assigned.

KNOWLEDGE, EXPERIENCE, AND SKILLS

  • Must have weekend availability.
  • Must be willing to work a flexible schedule.
  • High school diploma required; Bachelor's degree in Business Administration or related field preferred.
  • At least one year of related experience is required.
  • Excellent oral and written communication skills in the English language
  • Impeccable attention to detail
  • Strong knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Excellent organization, time-management, and problem-solving skills and attention to detail
  • Strong calendar management: must be able to organize schedules and maintain calendars.
  • Excellent time management skills. Proven ability to prioritize, adhere to deadlines, and perform multiple tasks in a fast-paced, creative environment with grace and ease.
  • Well-versed in technology and possess excellent computer skills.
  • A fast learner
  • A creative thinker who’s not afraid to get their hands dirty.
  • Flexible and up for any task- nothing is too big or small.
  • Must be able to work fast-paced, accurately, and with limited supervision.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and record-keeping systems.
  • Extremely proficient with Microsoft Office Suite, Google, MS Project, and Outlook applications or similar software with the ability to learn new or updated software.
  • Being a self-starter with a positive attitude and self-driven.
  • “Can-do” attitude, pro-active and resourceful.

PHYSICAL REQUIREMENTS

  • Ability to perform essential job functions consistently, safely, and successfully with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
  • Must be able to lift and carry up to 25 lbs at times.
  • Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the work area and property. Bend, lift, carry, reach/extend arms, and hands above shoulder height frequently, or otherwise move in a constantly changing environment.
  • Climbing steps regularly
  • Prolonged periods sitting at a desk and working on a computer.

COMPENSATION

The base pay range for this position is $80,000 - $85,000 per year. The determination of what a specific employee in this job classification is paid within the range depends on a number of factors, including, but not limited to, prior employment history/job-related knowledge, qualifications, and skills, etc.
