SUMMARY: The Procurement Clerk is responsible for the livestock office daily operations, data entry, filing and retrieval of records, and daily reporting, completing other designated tasks and activities as assigned by the Livestock Scheduling Manager and for taking calls from inbound livestock haulers and activating the gate codes.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Activities related to Hog Procurement and Evaluation (HPE) System Data Entry.
  • Daily data entry for: Contract management, delivery schedules, receiving lots of market hogs, truck freight payment entries, hog movement records, creation of drive cards, and daily variance and summary reports.
  • Maintain and update producer information in the HPE system, including producer codes, location codes and producer sites.
  • Learn and become proficient with the HPE system to support the duties of the Livestock Scheduling Manager.

Activities related to Office Operations.

  • Print, distribute and file daily reports, including market hog purchase journals, edit reports, posting reports, and settlement sheets.
  • Prepare invoices for market hogs resold to third parties.
  • Maintain preprinted forms inventory and schedule reprinting orders.
  • Distribute and mail preprinted forms, supplier reports, and other requested information from suppliers.
  • Prepare reports for STF management.
  • Support daily activities in the absence of Livestock Scheduling Manager.
Other Required Tasks and Activities:
  • Maintain office and office facilities daily in a clean and usable condition.
  • Coordinate and gather requests for supplies, equipment, and safety items in the livestock area from Livestock Receiving Coordinators.
  • Complete administrative and other tasks as directed by the Livestock Scheduling Manager.
  • Work Saturdays and extended daily schedules as directed by the Livestock Scheduling Manger.
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the work environment, knowledge, skill, and/or ability required or preferred.

EDUCATION and/or EXPERIENCE: Three years of related experience and/or training; or equivalent combination of education and experience. Proficient in all Microsoft Office products, especially Excel. A self-motivated individual that can prioritize and complete critical assignments in a timely manner unsupervised.

COMMUNICATION SKILLS: Must have excellent written and verbal communication skills. Ability to write routine reports and business correspondence. Ability to speak effectively before customers or employees of the organization. Bilingual (Spanish) is a plus. Ability to effectively manage time and meet all specified deadlines.

LANGUAGE SKILLS: Ability to read and interpret documents in the English language and procedure manuals. Must be able to effectively communicate with Hog Suppliers, Truckers and other industry personnel.

MATHEMATICAL SKILLS: Strong mathematical skills with the ability to apply to practical situations.

REASONING ABILITY: Ability to solve practical problems. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. Work well individually and as a team.

OTHER SKILLS AND ABILITIES: Ability to use computers with the ability to learn and effectively use any and all other computer programs that are or will be made available. Focus on Microsoft applications and AS 400

NORMAL WORK SCHEDULE: The hours and days of work are established as needed by operations and at the discretion of management.
80% of the time will be in the Livestock performing data entry and working with reporting.
15% communicating with incoming haulers.
5% of the time focused on enriching STF`s culture as well as community enrichment.
