Summary/Objective

The Production Assistant must perform the job duties with a view toward projecting a professional and competent image: Service to the customer in a friendly and outgoing manner is essential, while timeliness and professional appearance are key. The position is fundamental to the administrative and operational functions of the Company and as such requires established organizational skills, with attention to detail and solid time management, and good interpersonal skills.

Duties and Essential Functions

  • Processing new leads and entering in Dash, Encircle, Logikos and Tsheets (various soft wares).
  • Contacting client and coordinate inspections
  • Monitoring and auditing daily in progress jobs where documentation is being obtained.
  • Informing the project manager what documents are pending in the file in a timely manner to collect.
  • Answering the phone in a timely manner and following the phone directive process.
  • Assisting the production dept. with any miscellaneous tasks.
  • Update and maintain Shared Calendar.
  • Participates and demonstrates and understanding of safety principles and practices; follows all safety policies and procedures to support a safe working environment, including safe operation of machines and equipment.
  • Collect all expenses from Crew Chiefs and Technicians and ensure that they are signed by the manager.
  • Input notes in Dash with a copy of email communications and a written summary of the conversation with the customer.
  • Utilizing TSheets to ensure time management.
  • Securing all approved signed contracts and deposits prior to commencing work in accordance with company policies.
  • Inputting the dates in dash to show the stage of the jobs.
  • Following up on the job status daily and updating dash accordingly.
  • Any clerical duties as needed or required.
  • Support the Production Dept. as needed or required.
  • Storm/Hurricane work availability.

Work Environment

The job operate in a professional office environment. Moderate noise level. This role routinely uses standard office equipment.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.

The employee is occasionally required to sit, stand, reach, lift, bend, kneel, stoop, climb, push and pull items weighing 20 pounds or less. The position requires manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures.

Position Type and Hours of work

This is a full-time, position Monday to Friday 8:00 to 5:00 pm including attending any after hour on call emergencies and weekends. The schedule may change to accommodate the business needs of the company. Travel may be required if assistance is needed during hurricane season or any large losses.

Technical Qualifications

  • Knowledge of MS office, databases and spreadsheets.

Required Education and Experience

  • High School Diploma Required. Some college preferred.
  • Basic accounting principles knowledge
  • Fluent in written English language
  • Possess leadership qualities
  • Communicate well; verbally and written
  • Work with clients and management in a professional manner
  • work with Subs, Suppliers and Vendors in a professional manner
  • Ability to work independently and prioritize tasks
  • Strong attention to detail and problem-solve skills
  • Must have high level writing ability.
  • Must function in team organized environment.
  • Basic accounting principles knowledge
