JOB TITLE: PROGRAM ASSISTANT, VENTURE CAPITAL FUNDS

LOCATION: Virginia (Work can be performed in either our Herndon, VA or Richmond, VA locations. Some remote work available but must be able to attend team meetings at either location as required.)

POSITION OVERVIEW:

The Program Assistant works closely with the Chief Investment Officer/Vice President Division of Investments and Managing Director, Virginia Venture Partners (VVP) and other members of the senior Investment and Portfolio Management teams in supporting processes and operations for Virginia Venture Partners, the VIPC Division of Investments $100M+ AUM direct and indirect investment program.

Responsibilities will include:

  • Using VVP’s CRM and portfolio management system, supports the Investment team’s input and maintenance of data for companies and funds applying for and receiving investment from VVP.
  • Extracts, organizes data, and develops reports from industry databases, data repositories, and back-office systems to which VVP subscribes.
  • Facilitates the deal close process through scheduling, agenda setting and logistics leadership for virtual pre-close and closing meetings, and the preparation of transaction documents through DocuSign.
  • Interfaces with Finance & Administration (F&A) to ensure timely review of pre-close documents and ensures appropriate account coding and disbursement of invested funds.
  • Supports post-close investment activity by capturing all relevant and compliance data in VVP portfolio management system and timely transfer, organization and storage of all transaction documents in VVP’s Box repository.
  • Organizes and provides logistics support for virtual post-close meetings involving company, deal team, Chief Investment Officer, and Portfolio Management Manager.
  • Provides support for VIPC press release process.
  • Provides portfolio management support of annual, quarterly, and ad hoc metric data gathering requirements in response to various federal and state governing entities. Prepares and leads discussion on upcoming convertible note maturities with VVP Investment team.
  • Through the use of Calendly, Doodle, Microsoft and other scheduling tools, provides meeting support for a variety of standing virtual, in-person and/or hybrid meetings to include maintaining schedule, setting agenda, and other logistical needs which may involve both internal and external stakeholders and require the coordination with other VIPC divisions.
  • Records meeting minutes and actions from discussions of a variety of complex subject matter.
  • Maintains and updates distribution lists for VVP events and newsletters and rosters of relevant VVP stakeholders.
  • Provides first-level response to information requests received via email or by phone and re-directs inquiries to other VVP or VIPC staff as necessary.
  • Schedules in-person appointments, travel and meeting arrangements as requested.
  • Assists in preparing PowerPoint presentations on a range of topics and special projects.
  • Processes check requests for seminars, workshops, conferences, marketing materials, event sponsorship, catering, subcontractor activities and other payables.

Background and Qualifications:

  • Bachelor’s degree and minimum of 2 years’ program and administrative support experience required with strong customer service skills and team orientation in a high activity office environment.
  • Proficiency and track record with Microsoft Office, Calendly, Box, Zoom and one or more CRM systems is required, as is a high aptitude and willingness to learn other software applications that may improve the Investment team’s operations.
  • Experience working in the finance industry is desired.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Must be flexible, proactive, and be able to prioritize work on multiple projects simultaneously with a dedication to continuous process improvement.
