The Bob Ramsey Executive Education program coordinator is responsible for coordinating activities and functions of assigned programs to ensure that goals and objectives for each program are accomplished in accordance with established priorities, time limitations, funding limitations or other specifications, and for effectively planning and delivering programs and seminars at a level of service that meets or exceeds each customer’s expectations. Program assignments will depend on the Center’s resource allocation needs and may include the Certified Public Manager® Program, one or more of the Center’s current U.S. Department of State programs (such as the Mandela Washington Fellowship for Young African Leaders, the Young Southeast Asian Leaders Initiative Civic Engagement Institute, or the Young Leaders of the Americas Entrepreneurial Leadership Fellowship), or other programs in the Center’s portfolio. Reporting structure may vary for each program assignment.

Essential Duties

  • Develops and schedules program work plan in accordance with specifications and funding limitations; oversees daily operations and coordinates activities of programs; determines priorities; ensures programs comply with requirements.
  • Coordinates logistics, including managing classroom facilities and set up, packaging program materials, scheduling, and communicating with program participants.
  • Works with facilitators to ensure scheduling, class preparation, and development of appropriate learning activities in either a classroom or virtual format.
  • Interacts and maintains liaison with program participants, faculty, staff and outside/community agencies in facilitating program objectives.
  • Coordinates activities of program with interrelated activities of other programs, departments, or staff to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications.
  • Manages customer expectations; anticipates and reacts to customer needs in and out of the classroom.
  • Tracks and monitors progress of program participants, communicates with participants to ensure they are on pace for completing program expectations.
  • Reviews applications or other program documents independently or in conjunction with supervisor to make decisions pertaining to program.
  • Confers with staff, program participants, and others to provide technical advice, problem solving assistance, answers to questions and program goals and policy interpretation; refers to appropriate department person when unable to respond.
  • Builds and maintains course sites in the Canvas learning platform.
  • Monitors and approves program expenditures ensuring that budget allocations are not overspent.
  • Documents and categorizes all expenses within required timelines.
  • Prepares periodic reports and records on program activities, progress, status, or other special reports for management or outside agencies.
  • Evaluates program effectiveness to develop improved methods; devises evaluation methodology and implements; analyzes results and recommends and/or takes appropriate action.
  • Develops and recommends new or revised program goals and objectives.
  • May coordinate, monitor, or supervise the activities of student workers.

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Availability to work weekends and evenings.
  • Ability to drive to classes and meetings throughout Arizona.

Working Environment

  • Regular activities require ability to quickly change priorities, which may include resolving conflicts or concerns.
  • Regular communication with program stakeholders.
  • Regular managerial review of completed tasks for achievement of established objectives.
  • Work hours will include evenings and weekends.
  • Professional attire is expected at formal program events, and business casual attire is expected at other times.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
  • Activities are primarily performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; occasionally required to stand indoors and outdoors (sometimes in extreme heat) for varying lengths of time; occasionally required to walk moderate distances indoors and outdoors (sometimes in extreme heat) to perform work.
  • Frequent bending, reaching, lifting, pushing, and pulling up to 25 pounds.
  • Occasional in-state, out-of-state, and international travel.
  • Remote work and flex-time policy are determined by the ASU Watts College of Public Service and Community Solutions and are subject to program needs.
