Job Summary/Basic Function:
Support the Outreach and High School Programs (OHSP) department in providing program specific information and technical assistance to students and families, college staff, external partners, and others for the Career and Technical Education (CTE) Dual Credit program, as well as general outreach and customer support for the department and its programs. This position is grant funded. Continuation depends on renewed or continued grant funding.
  • Serve as the lead program specialist for the CTE Dual Credit program.
  • Support the operations of all dual credit programs under the OHSP Department.
  • Support students, parents/legal guardians, and school district/high school partners with regard to CTE Dual Credit admissions, class registration, and credit requests in SERS and ctcLink.
  • Gather, monitor, and coordinate CTE Dual Credit program documentation and activity within state, college and program systems.
  • Retrieve and track registration reports to ensure student account accuracy, registration, and Perkins Grant reporting.
  • Maintain records for all CTE Dual Credit students in SERS and ctcLink.
  • Establish and manage a database for CTE Dual Credit students, especially students utilizing a fee waiver, to provide retention services.
  • Respond to customer service requests including communications to high school staff partners, students, and parent/legal guardian partners via different modes of communication including email, texting, phone calls, webpage editing, and information sessions.
  • Coordinate billing, accounting, and fee waivers for the CTE Dual Credit program.
  • Manage required and auxiliary reports for the Perkins Grant, state, high schools and school districts.
  • Manage required archiving procedures for reports and CTE Dual Credit documentation.
  • Collaborate with high school partners, school districts, and on-campus departments on updating CTE Dual Credit information, databases, and communication.
  • Conduct presentations about Everett Community College dual credit programs, and CTE Dual Credit programs to prospective students and families.
  • Collaborate with the Director of Instruction of High School Programs to complete the following tasks:
    • Ensure articulations are up-to-date in the SERS system.
    • Monitor grade submissions in SERS.
  • Perform the following tasks for the Perkins Grant.
    • Provide information on CTE-Dual Credit processes and accomplishments in preparation for the submission of the Perkins Grant reports including the Perkins Program of Study Application.
    • Support in developing the Perkins Comprehensive Local Needs Assessment (CLNA) as it relates to Dual Credit.
    • Maintain Career Pathways web links.
  • Work with Enrollment Services on the transcribing CTE Dual Credit classes.
  • Work with the Director of OHSP to maintain and update CTE Dual Credit Washington State policies and procedures.
  • Other duties as assigned to support the team in achieving its service objectives



Minimum Qualifications:
  • Three years of professional administrative experience in customer service and data entry OR Associates degree or higher in a related field AND one year of customer service and data entry.
  • Demonstrated experience effectively creating and conducting in-person and virtual presentations to small and large groups.
  • Efficient oral and written communication skills.
  • Demonstrated ability to work and communicate with others of various ages, ethnic, cultural, and socioeconomic backgrounds.
  • Demonstrated experience working on a team and ability to work independently.
  • Must have a valid drivers license and reliable transportation for local and state travel.
  • Intermediate to Advanced level skills with Microsoft Suite and comfortable with different technological platforms.



Preferred Qualifications:
  • Two or more years of professional experience related to postsecondary education admissions, financial aid, or outreach.
  • Previous experience working with Career and Technical Education (CTE) Dual Credit or other dual credit programs and admissions processes.
  • Previous experience working in application processing and registration in a community college or university setting.
  • Ability to read, write, and speak proficiently a language in addition to English.

Work Hours: Full time, Monday through Friday. Summer schedule is Monday through Thursday. Attendance at some evening and weekend outreach events is required. Partial telecommuting may be available, based on department needs.
