At present, we are looking for a office-based

Project Administrator

who enjoys providing administration support to a Project Manager / Quantity Surveyor as they manage Supply Chain Projects. The ideal candidate will have worked in a similar capacity within the engineering / construction industry. This is a site-based position with one of our multinational clients, they are located in South Dublin.


Responsibilities


Responsibilities:

  • Provide administrative support to the Project Manager / Quantity Surveyor for procurement projects.
  • Supporting Pre-Qualification of Vendors process.
  • Updating information on Vendor database.
  • Filing and management of Vendor data.
  • Assist with and input to the Procurement Package Owners with the following:
  • Issue of Request for Quotations (RFQ)
  • Interaction with Equipment Suppliers during the Procurement phase of Projects
  • Preparation of Preliminary Offers for evaluation
  • Preparing Quotation reports for analysis and Client approval
  • Preparation of Award Recommendations and Purchase Orders
  • Expediting of Vendor information
  • Expediting of Vendor equipment deliveries
  • Preparing and updating Procurement Status Reports and Equipment Procurement Schedules
  • Take ownership of designated tasks and projects as assigned.
  • Support the wider process of RFP, bidding, evaluation, negotiation and award of contracts.
  • Review contracts documentation. Issue Documents electronically.
  • Attending meetings when required, diary management, scheduling meetings.
  • Assist with the maintenance and continuous improvement of the business management systems.
  • Proof read and amend documents created by others.

Qualifications


Qualifications:

  • A minimum of 3 years in a professional office environment ideally in the construction / engineering industries.
  • Prior experience in a similar role, preferably in an Engineering, Supplier or Contractor organisation would be preferable but not essential.
  • A high proficiency with Microsoft Excel and data analysis.
  • Have knowledge of the functioning of construction contracts as well as understanding of construction procurement planning and procurement processes & policy functioning.
  • Excellent written and oral communication skills in English is essential.
  • Strong work ethic, sense of responsibility and confidentiality.
  • An organised self-starter who is attentive to detail and able to work independently.
  • Ability to prioritise work and manage multiple tasks, likely with competing priorities.
  • Strong interpersonal skills and the ability to contribute effectively within a team environment.
