In this exciting position, the successful incumbent will oversee rebate payments and ensure they are issued and disseminated to our customers timely. As part of the U.S. Rebates organization, this position will also help to manage the shared outlook inbox and ensure customer and Field inquiries are responded to within our define service level agreement. This role will report to the U.S. Rebates Operations Manager and will partner with the manager to identify and help implement process improvement initiatives. This position is a hybrid remote position requiring the incumbent to be physically in the office on Mondays, Tuesdays, and Fridays.

A Day in the Life

This job role is focused on the entry of rebate transactions in SAP, compiling documentation for payment and delivery, monitoring the RS Rebates mailbox, logging rebate activity in the Rebates Access Database, sending payment notification, and generating reports. The secondary responsibility is to contribute and/or represent the department through completion of specific projects as defined in annual objectives.

Responsibilities may include the following and other duties may be assigned.

  • Load activities, including calculations and payment dates accurately into Access Database, update at each stage of rebate process. Oversee the management of payment calculation runs in Vistex, which affect revenue, cash or accounts receivable.
  • Generate the weekly payment proposal and provide back up of rebates ready for payment to the Rebate Analyst to finalize the payment proposal in SAP.
  • Disburse payment activity appropriately via mail and email, with needed payment documentation.
  • Provide support to customers, field organization, business units, Customer Financial Solutions, and Customer Service regarding questions about rebate payments or fulfill requests for documentation.
  • Maintain credit hold activity records and all follow-up activity.
  • Maintain certain aspects of the open issue tracking log.
  • Manage void and re-issuance of checks.
  • Maintain rebate mailing list in FedEx, including all changes in the file based on internal notifications.
  • Requirements gathering support for Sox, Financial and Compliance audits.
  • Drive maintenance of SOP’s and work instructions related to PC rebate activity.
  • Maintain documentation in team’s OneNote.
  • Generate adhoc reporting.
  • Special projects and support as needed.
Must Have: Minimum Requirements
  • High School Diploma or GED with 2+ years of project support experience

  • Self-starter and able to work independent of direct supervision.
  • Experience in a customer facing role.
  • Strong organizational, analytical and communication skills, with a high degree of initiative.
  • Ability to multitask and track complex issues, maintaining clear notes on progress to enable others to interpret open issue status.
  • Proficient computer skills with Advanced knowledge in Excel & Word (including ability to execute Macros and complete pivot tables and v-looks up in Excel).
  • Reliable work ethic and ability to be flexible during high peak times.

  • SAP experience preferred, and Order Management experience highly desired.
  • Experience with MS Access.
  • Experience with running existing TX shuttle macros.
  • Proven multi-tasking and change management skills and thrives in a fast-paced environment.
  • Strong oral and written communication skills with experience interacting with customers and internal business partners.
  • Team player that is a self-initiator, highly motivated, and works well with others.
