Job Title: Project Manager
Location: San Diego, CA


The Project Manager will work with and support the EVP of Healthcare Security, Kaiser Security Director, local BCI Security staff and other internal KP stakeholders to ensure the successful planning, delivery and execution of the KP Threat Management/Risk Management functions.



Responsibilities


  • Manage projects and recommend solutions to meet KP Security specific challenges and build long-term strategies that can help identify, prevent, respond, and recover from security threats and risk management
  • Work effectively with client and security management/staff to oversee and guide projects to completion reducing risk and simplifying compliance, while minimizing business disruptions
  • Manage the overall project coordination, including planning, scheduling, task assignment, and helping to escalate issues when necessary for resolution to ensure successful completion
  • Lead and support several large projects concurrently
  • Create and maintain project documentation, artifacts, and reporting as needed to support project delivery
  • Provide consistent and concise verbal and written communications to project stakeholders including the following reports: project performance, milestones, status, issues and risk management and quality
  • Lead project status meetings to include information regarding schedules, data requirements & assignments
  • Facilitate cross-functional and intra-region communications to achieve project success

  • All functions, duties or tasks are to be carried out in an honest, ethical and professional manner, and to be performed in conformance with applicable company policies and procedures. In the event of uncertainty or lack of knowledge of company policies and procedures, Employees are required to request clarification or explanations from superiors or authorized company representatives.


  • Check newest threat reports submitted through the Threat Management website
    • Contact KP staff regarding threats made and find out any additional information necessary for the investigation.
    • Coordinate with threat management committee members to discuss options regarding threat situations
  • Insert new threats onto an excel sheet (2 locations- personal drive and security shared drive)
    • Update Threat Management Committee tab to reflect new threats submitted as well as comments or actions taken.
  • Ensure that all Threat Management committee members and supporting staff have the appropriate access to the Threat Management emails and website depending on their scope of responsibilities.
  • Provide new employee orientation to KP employees & physicians.
  • Read & review Kaiser's Policies & Procedures
  • Attend BCI'S compliance mandated training classes.
  • Provide scheduled and pop up training sessions to KP staff & employees regarding the Threat Management programs and supporting programs.
  • Contact state/Federal agencies to determine if there is the possibility to leverage training from these organizations without incurring any cost to the organization.
  • Conduct walk-throughs of all facilities to discover opportunities to make workspaces more conducive to ensuring a safe working environment
  • Contact members via telephone regarding threats made toward KP staff
    • Send letters to members regarding threats made toward KP staff
  • Conduct active shooter walkthroughs with various departments to assist with guidance on security measures that need to be implemented into their areas
    • Provide training to departments to ensure that they are advised on best practices when confronted with an active shooting situation.
  • Attend Workplace Violence meetings
    • Determine if there are opportunities to incorporate the work being done with workplace violence and threat management and find ways to merge the two.
  • Update, review and manage the Threat Management website on the San Diego Intranet.
    • Discussions with the systems manager on the new security website
    • Discussions with the systems manager on ways to migrate information from the Threat Management website into a different database.
  • Prepare for the upcoming active shooting drill (logistics, vendors, scheduling, etc.)


Qualifications


  • Bachelor's Degree in appropriate field of study or equivalent work experience
  • 3-5 years of project management experience, including tracking and planning projects
  • 3+ years of experience working with healthcare stakeholders within a cross-functional matrix environment
  • Prior Threat Management/Risk Management background a plus, but not required
  • Intermediate level of proficiency with MS Project, Excel, Visio, PowerPoint and SharePoint
  • Experience presenting to stakeholders, including Senior Leadership
  • Excellent communication (written, verbal and presentation) and interpersonal skills
  • Self-motivated, decisive, with the ability to adapt to change and competing demands
  • Research best practices within and outside the organization to establish benchmark data and use continuous process improvement disciplines to achieve results

  • Occasional reaching with hands and arms, stooping, kneeling, crouching and crawling.
  • Frequent lifting and/or moving up to 25 pounds and occasional lifting and/or moving up to 75 pounds.
  • Close vision, distance vision, and ability to adjust focus.
  • May be required to use vehicle for the performance of duties.
  • On occasion may be required to perform stressful and physical activity.
  • Depending upon assignment may be exposed to inclement weather or be required to work in environments or under conditions that require the use of protective gear and devices and/or awareness of personal safety and safety of others.
  • May be exposed to or required to handle sensitive and confidential information.
  • While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear.
  • Must be able to move quickly throughout the Healthcare facility and physically restrain people by physically holding the individual down and then be able to also carry or lift the individual with other healthcare facility staff members.
  • The ability to maintain mental stability under periods of stress. The ability to push or pull gurneys with patients of various weights on them.
  • The duties of this job include possible exposure to deadly weapons, injury from violent persons, infectious persons, gases and fumes, blood and body fluids, hazardous chemicals, heat, wind, rain and cold; the employee must understand and demonstrate the ability to take protective actions, following established guidelines. The noise level in the work environment can vary from extreme noise to extreme quiet.
