The Purchasing and Receiving Clerk is responsible for maintaining inventory counts and quality control procedures for all incoming and outgoing product shipments. Their duties include receiving and checking incoming deliveries from vendors against product invoices and purchase orders (PO’s), organizing and storing shipments until they receive outgoing order requests (Requisitions) and notifying management personnel when they don’t have enough of a particular product to fulfill orders.
Responsibilities:
Job duties include but are not limited to:
Directs trucks into docks and check loads to ensure items have been transported in the proper shipping environment.- Responsible for checking all incoming goods against delivery invoices, food specifications and purchase records to ensure that the type, amount, price and quality of items charged and ordered are correct and checking product temperatures as needed.
- Delivers incoming product to specified departments or locations.
- Manages the storage of supplies including proper storage of products for freshness and security, follows all food handling and sanitation procedures, conducts frequent inventories, maintains par levels and ensures a clean and organized work area.
- Performs general warehouse functions; outlet requisition movement, stocking and rotating of product(s).
- Completes requisitions accurately, following inventory and par level procedures, and providing timely deliveries.
- Complete receiving data entry in the purchasing software system.
Essential Duties and Responsibilities:
Direct delivery drivers to the correct unloading station.- Receive and sign for deliveries.
Check deliveries against orders, invoices, manifests and other documents to verify correctness.- Record and report overages, shortages, and discrepancies.
- Inspect the condition and quality of delivered items.
- Record and reject damaged items.
- Liaise with shippers to rectify problems with deliveries.
- Process returns of damaged items.
- Prepare and keep records of goods received.
- Complete daily receiving entries into a computer system.
- Store stock in an orderly manner and in there appropriate locations.
- Assure proper storage conditions.
- Correctly route and deliver items to relevant departments and process inter-company transfers.
- Organize stock and maintain inventory.
- Conduct regular cycle counts.
- Liaise with purchasing and operations with regard to stock levels.
- Clean and maintain your work area and additional areas of responsibility.
- Inspect and maintain all equipment, carts, and vehicles to ensure that they safe and ready to use.
- Comply with the company’s standard safety and operating procedures.
Additional Duties and Responsibilities:
Assisting other departments in need (Food & Beverage, Residential Services, Facilities, etc.) when operations require additional assistance.
Qualifications: Knowledge, Skills, and Abilities
Education:- High school diploma or equivalent education preferred.
Experience:
- Previous purchasing or warehouse experience within a Hotel / Hospitality, Residential, Resort Community, or distribution environment preferred but not required.
- Working knowledge of MS Office including Excel and Outlook.
- Data entry skills
- Knowledge of warehouse operations and procedures including Warehouse Management Systems.
- Proficient with electronic scanning equipment.
- May be required to operate warehouse equipment such as a motor vehicle, forklift or manual /electric pallet jack.
