Rate: 17.12/hr + sick leave with NO BENEFITS
The primary purpose of this position is to serve as a temporary Customer Service Receptionist, providing excellent customer service to callers and visitors at the Division of Fisheries and Wildlife (MassWildlife)’s Field Headquarters in Westborough. M-F
The primary purpose of this position is to serve as a temporary Customer Service Receptionist, providing excellent customer service to callers and visitors at the Division of Fisheries and Wildlife (MassWildlife)’s Field Headquarters (1 Rabbit Hill Road, Westborough, MA). This position is responsible for managing the Division of Fisheries and Wildlife Field Headquarters (FHQ) reception area and providing comprehensive clerical and administrative support for the FHQ during the hours the office is open to the public (currently M–F, 8 a.m.–4 p.m.)
The position serves as the principal receptionist greeting and assisting visitors, selling licenses and other products, basic bookkeeping, answering and routing phone calls, responding to inquiries, and conducting other clerical duties such as copying, filing, scanning, receiving and distributing parcels and other deliveries, coordinating mail flow in and out of the office, data entry, electronic and paper record keeping, and assisting other MassWildlife staff.
Duties and Responsibilities:
1. Provides courteous, professional, and efficient customer service and administrative support for the MA Division of Fisheries and Wildlife Field Headquarters (FHQ).
2. Serves as the receptionist creating a welcoming professional atmosphere for visitors, in person, on the telephone, or via email during the hours the office is open to the public (currently M–F, 8 a.m.–4 p.m.).
3. Greets and assists visitors and answers or refers inquiries to the appropriate staff.
4. Issues licenses, permits, stamps, and other products through the state electronic licensing system and maintains proper revenue records in accordance with MassWildlife procedures. Receives, processes, and fulfills orders for the sale of other products via mail and in-person in accordance with MassWildlife Policies and Procedures. Ensures that proper accounting procedures are followed.
5. Prepares daily deposits which are reconciled with financial documents, records, transactions and statements to ensure conformance with established standards.
6. Assists with bank deposits.
7. Answers, screens, and forwards incoming calls while providing information and responding to inquires as appropriate.
8. Conducts other clerical duties such as copying, filing, scanning, coordinating mail flow in and out of the office, receiving and distributing parcels and deliveries, data entry and report preparation, electronic and paper record keeping, basic bookkeeping, and assisting MassWildlife staff.
9. Completes assignments with accuracy, efficiency, and timeliness.
10. Maintains operations and security by following policies and procedures and controlling access when applicable.
11.Works with electronic licensing systems, word processing, data management, and electronic mail software.
12.Maintains electronic and printed records according to established procedures in order to ensure accurate and complete information. Files and maintains record. Retrieves records from files such as correspondence.
13. Operates standard office machinery and equipment.
14. Assists program staff with administrative tasks associated with individual projects as needed.
15. Contributes to the team effort by performing other tasks as necessary.
