What this job involves – Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates as well as additional clerical duties.

What is your day to day?

  • ​Ensure the reception desk is staffed and kept clean during normal operating hours.
  • Secure reception area and casework at close of day and leave keys with Security at guardhouse.
  • Greet and welcome visitors, employees, contractors/vendors when they arrive.
  • Answer telephone calls in a prompt and professional manner.
  • Take telephone messages and deliver to intended recipient in a timely manner by email.
  • Redirect calls to appropriate person/department.
  • Maintain a daily call log.
  • Manage site badging system.
  • Assist with room access requests.
  • Create new badges in Security Badge Management System.
  • Reprint badges, process access requests and maintain files containing badge access forms.
  • Deactivate badges upon notification of departure, or request.
  • Support the Security Department by following emergency procedures for any emergency that may arise
  • Assist Security with running daily site activity reports for the Devens facility and all other BMS locations.
  • Receive floral arrangements and special deliveries and contact recipient immediately for pick-up in the lobby.
  • Process rental car keys.
  • Receive, return and log rental car pick-ups and deliveries in logbook.
  • Assist Security Department with removing access/clearances for former employees on the weekly Global Terminations list.
  • Deliver Master Sign Forms to Document control.

Work Schedule

Monday through Friday Onsite - Dayshift
7AM or 8 AM Start Time/Flexible

Required

  • Excellent Communicator: Providing amazing experiences requires the ability to communicate professionally and passionately. Fluency in English and the local language is required.

  • Technology and Tools: Proficient in a range of information technology tools and platforms.

Preferred

  • 2 years of Customer Service experience

A requirement of this position is to be fully vaccinated against COVID-19 and to be able to provide proof of such vaccination prior to entering the work site. The CDC defines fully vaccinated as receiving two (2) doses of either the Pfizer or Moderna vaccine or one (1) dose of the Johnson & Johnson vaccine, and 2 weeks have passed from the date of your final vaccination shot.
