This is an exciting opportunity for someone who would like to join a well-known software company as a Receptionist right in Dublin City Centre on an 11 months contract.
As an integral part of the Front of House team, you would play a pivotal role in providing a best-in-class five-star welcome and assistance to all visitors and colleagues alongside another receptionist.
If you are interested in this role these would be your responsibilities:
- Serves visitors by greeting, welcoming, and directing them appropriately; Provide high-quality and informative customer service to anyone.
- Monitor the main reception phone and answer incoming calls in accordance with the company’s policy when required.
- Monitor the e-mail inbox and forward messages as required.
- Maintain the lobby area clean and in good working order by liaising with our cleaning, business technology, catering, and Global Workplace Safety teams.
- Process all incoming mail and packages (signing for, registering the packages in the system, informing recipients, and organizing collections) and pass any important documents to the relevant departments.
- Proactively assist vendors with gaining access into the building by working closely with Global Workplace Safety.
- Book transportation for employees or clients as required. Book the spaces required for internal/external meetings and make sure the spaces are in good order.
- When required, assist employees with a tour of the building
- Make sure all customs documentation is in order to avoid any delays in international deliveries.
- Verify, process, and archive the invoices received, making sure that all vendors are paid in a timely manner so there are no service disruptions.
- Order, inventory and manage all office supplies.
- Monitor the ServiceNow platform for any tickets, provide assistance where possible or reassign tickets to the relevant departments.
- Organise storage and keep a clear track of all personal items that have been packed by the Workplace team during the COVID-19 lockdown.
- Additional workplace-related duties may be delegated via Workday Workplace management on an ad-hoc or a permanent basis.

- Training on all systems will be provided.
- Experience with online courier systems is an advantage.
