Position Description:
We are seeking a positive, motivated and hands on individual for the Receptionist to work as part of a team interfacing with clients and team members at our main office located in Tampa, FL. This position will be responsibility for a variety of administrative work necessary to meet the needs of the firm.
Core Responsibilities:
Answer phone calls and route to proper individuals- Greet visitors warmly, ensure their comfort, and notify team member of their arrival
- Assist team members with scheduling meetings, contact management, expense reports, travel arrangements, and document management requests
- Maintain conference room scheduling and preparation for client meetings
- Ensure conference rooms, kitchens, supply areas, and reception areas are fully stocked, dishes are cleaned/replaced, and order replacement items
- Assist with the coordination of office maintenance with outside vendors
- Coordinate mail and package flow and in and out of the office
- Assist with material preparation for client and outside meetings
- Facilitate office activities including happy hours, team lunches, and conferences
- Assist team members with ad hoc tasks as requested
Skills & Qualifications:
Minimum 1-3 years of experience as an office assistant or receptionist- Proficiency with Microsoft Office
- Ability to become proficient in new software quickly
- Desire to work in a small collegial environment
- Ability to self-motivate and manage multiple tasks and projects
- Highly detail-oriented with solid critical thinking, organizational and analytical skills
- Comfortable taking the initiative and suggesting new ideas, improvements, etc.
- Communicates effectively with internal and external parties
- Ability to maintain strict confidentiality in performing duties
