General Summary and Purpose:
The Receptionist is a member of the Administrative Department. The Receptionist will be
responsible for greeting team members and guests professionally, answering incoming calls and
directing them to the appropriate department, mail distribution, ordering supplies, and additional
clerical duties. In this position, the Receptionist will play a key role in keeping our commitment
to exceed customer expectations and make sure the office runs smoothly throughout the day.


Duties and Responsibilities:

  • Answer, screen, and route incoming calls
  • Greet all business visitors warmly and professionally
  • Provides excellent customer service to applicants, team members, visitors and internal
    customers by providing information, answering questions, connecting them with the
    right resource person and following up as needed.
  • Receive, sort and distribute mail as well as manage any outgoing mail.
  • Assist with scheduling the conference room calendars and meetings for the site
  • Assist with meeting logistics (copies/refreshments/supplies)
  • Maintains work orders as applicable for the facility
  • Assist with scheduling meetings through MS Outlook for both on-site and off-site
    participants
  • Assist with scheduling interviews which includes reaching out to candidates regarding
    scheduling, provide necessary information to candidate and interview participants,
    schedule meetings and communicate to all participants the logistical information for the
    interview.
  • Assist with copying, scanning, faxing, mailing and filing as needed.
  • Place orders, receive and stock weekly office supplies, coffee, snacks
  • Open and closing duties of the office: start and unloading of the dishwashers, TV on/off,
    welcome messaging, voicemail routing, cleanup of conference rooms, white boards and
    public spaces to ensure the spaces are neat and organized
  • Assist with planning and organizing team meals and celebrations

Job Specifications:

  • High school diploma or equivalent is required
  • Minimum of 1 year working in customer service is required
  • Minimum of 1 year experience working in an administrative capacity.
  • Experience working with MS Office, in particular Outlook, Word and Excel.
  • Excellent communication skills both verbal and in writing
  • Strong technical skills or acumen
  • Willingness to learn and identify new tasks

The US base salary range for this position at full-time is $34,300 - $48,000 (yr). This is a part-time position so will be pro-rated based on hours worked. This position is not benefits eligible unless hours worked meet required elements. Our salary ranges are determined by position, level, location, and market competitive benchmarks. Individual pay within a level is determined by work location, job related skills, experience, education, and training.


The BioLife Solutions total rewards program includes, but is not limited to medical, dental, vision, 401K with generous match, life and disability insurance as well as time off programs of Vacation and Sick time. Additionally, we believe in our team members sharing the success of our business and therefore we provide stock equity grants as a part of our total rewards package. This part-time position is not eligible for benefits or equity grant unless hours increase to meet minimum thresholds.
