Rentals Clerk Position Purpose

To provide clerical support to the rentals department.

Rentals Clerk Essential Functions

  • Oversee the KS insurance inbox.
    • Field all incoming requests & questions regarding insurance.
    • Check all certificates of insurance (COI) for compliance.
    • Upload all accurate Certificates of Insurance into Integrated Rental (IR).
    • Work with rental managers/coordinators, salesmen & insurance agencies to request corrections to non-compliant certificates of insurance (COI).
    • Field incoming phone calls regarding insurance.
    • Check newly created accounts for open transactions/missing insurance (will receive email from credit department).
  • Monitor Shipping and Receiving inbox.
    • Examine all new arrival check-ins for accuracy and audit check-ins/check-outs.
    • Update placeholders.
    • Report issues such as missing pictures, incorrect serial numbers, etc. to the appropriate Rental Manager/Coordinator.
    • Delete emails.
  • Monitor Placeholder Status Report (Daily Mailroom).
    • Check the report daily for units with missing placeholders.
    • Locate Inspect check-in.
    • Perform all above-mentioned shipping/receiving checks.
    • Update placeholder.
  • Complete all inventory fleet changes for managers/coordinators.
  • Track Contracts
    • Upload hand-signed contracts into IR as received.
    • Complete a ‘Contract Scores’ report and upload it to Teams daily.
  • Inspect Daily Movement Audits (Daily Mailroom)
    • Check all contracts in & out.
  • Answer and direct phone calls.
  • Assist sales staff with rental issues as needed.
  • Electronic filing.
  • Assist with reports and inventory management.

Rentals Clerk Minimum Qualifications

  • One (1) year of office experience required; experience in heavy equipment or trucking industry preferred.
  • High School Diploma or Equivalent.
  • Must possess the ability to type, use a ten-key, and file.
  • Proficiency in answering and transferring calls.
  • Strong organizational skills with the ability to multitask.
  • Excellent interpersonal skills, and professional demeanor.
  • Proficiency in MS Office (Word, Excel, etc.)
  • Valid driver’s license.
