DS Huber Real Estate Group, LLC, is looking to hire a Residential Project Coordinator. We are a quickly growing residential property management company with many opportunities for expansion and additional opportunities, both in Lansing and other areas in Mid-Michigan.

This position is accountable for producing the following result:

To support the retention of quality customers and clients by coordinating resident maintenance/repair requests with the maintenance and remodeling division or outside vendors. Coordinating big projects such as roof replacements foundation repairs, etc along with general maintenance work. A background in maintenance is not required for this role but organizational skills are a must!

This position is accountable for the following tactical work:

  • Take maintenance requests via phone, email, web portal, text message, writing, or other methods of communication, from tenants and other team members.
  • Do basic and preventive troubleshooting with any tenant making the request to determine whether an outside vendor is needed to complete repair.
  • Request necessary services from appropriate vendor(s) via work order system employed by company.
  • Follow up on requested services to ensure work is completed properly.
  • Attend property inspections with city/municipality for licensing & code compliance; coordinate any repairs necessary for passing of inspection.
  • Attend property inspections with Section 8/other funding organization; coordinate any repairs necessary for passing of inspection.
  • Receive, Review and Approve bills from vendors for work completed; evaluate and indicate whether Resident should be billed for service.
  • Send bills to Accounts Payable department for payment disbursal on a weekly basis.
  • Be part of rotation for on-call for maintenance emergencies during off hours; arrange for coverage if necessary.
  • Other duties as assigned

  • Work will take place within the office and off site.
  • The confidentiality of client, customer, and company information will be maintained at all times.

Company Wide:

  • All work will be performed in accordance with all government laws, regulations, ordinances, and court rulings in those jurisdictions in which the company operates.
  • All routine work will be documented in an operations manual. The information included in the operations manual is proprietary.
  • All work will be performed according to company policies and standards inherent in all Position Agreements, system action plans, employee manuals, ongoing policy memoranda, and facilities and dress codes.
  • Client and company information will be held strictly confidential outside the company.
  • All telephone calls, both internal and external, will be returned within one business day and within two hours whenever possible.
  • Manager will be notified in an exception report of any issues to be resolved or deadlines that cannot be met by reporting position, prior to the due date.
  • All innovation will be quantified, tested, and improved, then documented for routine implementation (i.e. well-orchestrated once proven).
  • Problems with any system must be brought to the attention of manager in an exception report, so the system can be improved within the structure of the operations manual.
  • All policy memoranda indicating changes in policy and/or procedure will be stored in each employee’s operations manual, until an updated procedure is provided.
  • Employees will provide staff assistance as requested; each employee may be asked from time to time to cover other areas of accountability and/or departments.
  • All business communications, whether verbal, visual, or written, whether for internal or external use, will be professional in tone and content and in accordance with applicable and existing company policies and standards.
  • Employees will respect each other’s time, space, and need for concentration. Socializing and interruptions must not impede workflow.
  • Employees will have weekly, regularly-scheduled meetings with their manager.
  • Employees are encouraged to recommend ideas for the improvement of their department and position that are consistent with the company’s Vision.

Job Type: Full-time

Pay: $40,000.00 - $50,000.00 per year
