Schedule: Monday – Friday; 7 a.m. – 3:30 p.m. – Shifts may vary as needed

The position is responsible for coordination of materials, equipment and labor needs in support of maintenance and operations of the facility including purchasing, planning, scheduling, warehousing, inventory control, and data entry into a maintenance work management software. The position will be responsible for performance metrics and/or coordination of data collected for Asset Management, maintaining records and documentation relating to operations, and performing a wide variety of technical, administrative and coordination activities and tasks. The work planning coordinator will prioritize and schedule preventative and corrective maintenance repair projects. Work involves extensive coordination and contact with the plant manager, project coordinators, operators, maintenance supervisors, finance, purchasing, or engineers in determining project timetables, contract specifications, equipment requirements and availability, labor or inventory utilization and to ensure accuracy of data and documentation. The ideal candidate is highly organized, adheres to deadlines and is capable of performing tasks with a considerable amount of coordination between staff.

Essential Tasks Functions
- Prioritizes, assigns, and schedules work projects involving the maintenance, repair and construction of various systems and related projects of reclaimed water distribution systems, wastewater collection systems, and/or water/wastewater treatment plants.
- Responsible for fixed assets (tags), Fleet (trucks & generators).
- Organize records, inventory control.
- Flag/track inventory, essential tasks, items on order, or emails for follow up.
- General and specific research such as specifications, best pricing, contract requirements, finding vendors.
- Ensures that changes made to utility systems, assets, stock and/or inventory are accurately measured and recorded in the Enterprise Asset Management software.
- Assists in coordinating material and equipment needs and availability for individual work orders.
- Coordinates with supervisors and project coordinators to ensure field information is properly recorded in the Enterprise Asset Management software.
- Computes amount of labor, tools, and material required, completing work orders by developing project descriptions, cost estimates, and material lists.
- Issues sub-work orders, cancellation changes, requisitions, purchase orders, and rush work orders.
- Maintains and monitors comprehensive records of work orders, purchase orders, inventory control, scheduled completion dates, work progress and delays and adjusts dates to reflect current status.
- May educate or provide on-site tech support to facility staff in a variety of specific work flow processes or policies, including (but not limited to): inventory control, asset management software, Outlook Calendar, Excel, records keeping, and/or purchasing policies.
- May supervise volunteers, projects, or contracts.
- Monitors crew availability through the supervisor, intermixing crew specialties as necessary to maximize available resources.
- Receives and responds to telephone inquiries and complaints with respect to the scheduling of projects and estimated completion dates. Acts as a liaison between purchasing, finance and the facility.
- Performs information processing-related duties including using statistical packages or programs, encoding data, data entry and retrieval.
- Performs related work as assigned or required such as dispatch, uniforms, proofreading, and special teams.

Position Specific Requirements
- 3 years’ experience in Operations, purchasing for utility projects, or utility maintenance that includes 1 year of warehousing, scheduling, or inventory control experience and team leader, lead coordinator, supervisor, or supervisor training; or
- Completion of a 2-year vocational and training certification, or diploma in a related field and 1-year experience in Operations, purchasing for utility projects, or utility maintenance that includes 1 year of warehousing, scheduling, or inventory control experience and team leader, lead coordinator, supervisor, or supervisor training; or
- An equivalent combination of education, training, and/or experience.
- Possession and maintenance of a valid State of Florida Driver’s License upon hire with eligibility based upon evaluation of a Motor Vehicle Record (MVR) driving report.
- Position may require forklift certification.
- Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations.
Highly Desirable:
- Experience working at an industrial facility with operations staff.
- Experience working in an industrial or production facility warehouse including inventory control.
- Experience working in OPUS or similar oracle-based purchasing software for processing expense reports, standard purchase orders, entering requisitions.
- Experience working in work order/asset management system including data entry, inventory control, various reports, creating work orders.
- Broad working knowledge of record keeping and Florida Purchasing Rules.
- Customer service skills, team skills, and ability to establish effective working relationships.
- Experience working within Microsoft Outlook - especially scheduling multiple calendars.
- Experience working within Excel.
- Experience working with Cityworks.
Knowledge, Skills, and Abilities
- Knowledge of service scheduling, time, material, and labor requirements to complete a variety of utility maintenance work projects.
- Knowledge of the methods and techniques including safety aspects utilized in utilities maintenance projects.
- Knowledge of field data collection, measuring, and recording techniques.
- Knowledge of office automation equipment and systems software programs to asset managements, City works preferred.
- Knowledge of principles and procedures of inventory control and procurement practices, policies, and procedures.
- Ability to review plans, review data in the G.I.S., and detect inaccuracies and take corrective action steps.
- Ability to communicate effectively, orally and in writing.
- Ability to operate office automation equipment.
- Ability to establish and maintain effective working relationships with employees, other departments and the public as necessitated by the work.
- Ability to maintain accurate records of scheduled work projects and the status of a variety of utility maintenance projects.
- Ability to understand and carry out oral and written instructions.
- Knowledge of field maps applications.
