The College of Liberal Arts (CLA) is one of eight colleges at Colorado State University and is home to some of the most influential creators and innovators on campus. CLA houses twelve departments: Anthropology; Art and Art History; Communication Studies; Economics; English; Ethnic Studies; History; Journalism and Media Communication; Languages, Literatures and Cultures; Philosophy; Political Science; and Sociology. The College is also home to the School of Music, Theatre and Dance and three interdisciplinary programs: International Studies, Interdisciplinary Liberal Arts, and Women and Gender Studies.

Position Summary
The Scholarship and Student Program Coordinator is responsible for serving as the scholarship program coordinator and coordinating college-level student-related dean’s office events. This position serves as the scholarship program coordinator for the college in order to assist students with financial support during their academic careers. This position also manages and directs the college’s scholarship program process, coordinates with other University offices to review need-based and merit-based scholarship and award distributions, develops and delivers training to department-level scholarship support personnel, and ensures compliance with all regulations and scholarship criteria. This position establishes work processes within the dean’s office, and serves as a resource to faculty, staff, current students, future students, and departments within the College. This position is directly responsible for planning and coordinating the Fall and Spring College of Liberal Arts commencement ceremonies. This position reports directly to the Associate Dean for Undergraduate Studies.

Required Job Qualifications
  • Bachelor’s degree
  • At least 3 years of experience with administrative work or in a program management role
  • Demonstrated experience in coordinating and/or managing events.
  • Demonstrated experience in customer service.
  • Demonstrated computer proficiency (MS Outlook, Word, Excel, PowerPoint, and databases).
  • Demonstrated experience building relationships and collaborating with a variety of populations.
  • Ability to travel and work occasional non-standard hours, including early mornings, evenings, and weekends.

Scholarship Administration

Duty/Responsibility
  • Manage and direct the College’s scholarship program, coordinating with the Associate Dean for Academic Programs and other University Offices including Student Financial Services, CSU Foundation, and College Development Office to develop and implement program processes on a College-wide basis and set policy for components of online application process.
  • Act as liaison between Dean’s office, Development office, Departments, Student Financial Services, and CSU Foundation to ensure scholarship criteria compliance; serve as college resource on scholarships by explaining procedures, requirements, policies, rules, and regulations to inquiring parties.
  • Communicate directly with department chairs and department scholarship committees to guide the selection process.
  • Field questions from faculty, students, families, and donors related to the scholarship process and recipient selection.
  • Use sound judgement and follow FERPA guidelines when communicating with families asking about confidential student information.
  • Obtain access for new system users and provide technical information, training, and support for system users.
  • Coordinate and conduct hands-on training, including development of all training materials, for all users of online scholarship management system (to include College faculty and department-level scholarship coordinators).
  • Develop and lead education/ training meetings for department chairs, department scholarship selection committee chairs, and others as required to ensure integrity of scholarship application process and established guidelines are followed.
  • Maintain records and ensure appropriate archiving of application data and documents.
  • Map new scholarships into the online application system, ensuring all requirements laid out in the fund agreement are honored while providing the largest pool of qualified applicants.
  • Interpret scholarship program rules and policies to a wide audience of College system users.
  • Collaborate with the Associate Dean, College Development Officers and CSU Foundation Officers to resolve conflicts of interpretation of fund agreements, program rules, regulations, and processes.
  • Identify and resolve issues that arise within the College.
  • Work with scholarship reviewers on best practices for scholarship review and selection.
  • Create and regularly review current practices and processes of scholarships in CLA; revise for consistency and effectiveness.
  • Collaborate with the College Development Office to review and analyze annual projections to determine scholarship award amounts/numbers of awards to make.
  • Disseminate this information to department chairs and scholarship selection chairs; develop and implement tracking systems used in monitoring recipients; verify eligibility of scholarship recipients.
  • Provide recipient information to Development Office for donor notification and stewardship efforts.
  • Attend monthly university-wide scholarship coordinator meetings.

  • Plan and coordinate college-level student-related events for the College of Liberal Arts dean’s office, including Commencement, Ram Welcome, and First Generation events.
  • Review event contracts and negotiate rental costs and venue services with regard to space, audio-visual needs, catering, staffing, parking, etc.
  • Develop timelines and task lists for each event.
  • Develop and maintain mailing lists for distribution of invitations and event-related information to invitees and registrants.
  • Maintain direct contact with and provide assistance and information to planning committees and sponsors throughout the event planning process.
  • Develop event briefings for the Dean and Associate Deans if participation is required.
  • Events may require attendance outside of normal business hours to ensure the smooth implementation of planning efforts.
