Here at Osborne, we are currently recruiting for a School Secretary for a secondary school based in Stillorgan Co. Dublin.
This is a full-time permanent opportunity.
The successful candidate for this position will be people oriented, can multitask, understands secretarial duties, is highly organized, flexible, adaptable, and has good interpersonal skills. The school secretary has to complete work in a timely manner to meet deadlines while keeping schedules for teachers, Principal, and events.
They also communicate with parents and students on a frequent basis. The secretary has responsibility for sharing information and for dedicating themselves to provide an efficient, confidential, co-operative and friendly service to all sections of the School.
This requires the secretary to accept a commitment to combine their functions, often in ad hoc ways, to everyone’s mutual advantage.
For you:
- Salary: €35,000
- Working hours: 39-hour week.
- 8am to 4.30 pm – Monday, Tuesday, Thursday, Friday.
- 9am to 3pm on Wednesday’s.
- Holidays include the month of July off, along with a number of days during the school midterm and holiday periods.
Duties and responsibilities:
- Provide clerical and administrative support to the Principal, the Deputy Principal and teaching staff as policy directs.
- Ensure that the school and office operate in a consistently organised manner on a daily basis, through communication with staff, students, parents
- Able to maintain records with a high degree of accuracy
- Act as liaison between the community, the school and other internal and external stakeholders
- Handle visitor inquiries, and direct them to the appropriate person according to their needs, oversee the registration of visitors and allocate visitor tags
- Act as first point-of-contact to callers, relay messages, and transfer phone calls as appropriate
- Manage information received in the office
- Coordinate appropriate documents for communication between schools and with the Department of Education and Skills
- Adhere to rigorous student and staff confidentiality protocols in all circumstances
- Complete forms in accordance with school and DES procedures, following education legislation
- Compose, type, and distribute staff meeting notes and routine correspondence
- Generate and distribute reports as appropriate
- Locate and attach appropriate files to incoming correspondence requiring replies
- Distribute newsletters and other information in an economical and time-sensitive manner
- Make copies of correspondence and other printed material and ensure that the filing system of the school is up to date and GDPR compliant (including identification of files for shredding, and archiving etc.
- Route, and distribute incoming mail and other material, and prepare answers to routine letters
- Set up and maintain paper and electronic filing systems for records, correspondence, and other material.
- Ensure email best practices and coordinate the flow of information both internally and with other organizations.
- Engage with the management of ancillary staff work hours and submissions of timetables and work schedules to the DES/school for payment.
- To administrate leave for staff and ancillary staff
- To administrate and support the interview process for staff
- Implementation of the supervision and substitution scheme, if needed
- Management and administration of the OLCS system
Requirements
- 2-3 years administration or PA experience Direct school experience desirable but not essential
- Ability to work under pressure
- Ability to work in a fast-paced environment
- Ability to maintain records with a high degree of accuracy
- Ability to work as part of a team
- Ability to facilitate an activity or process with effectiveness and courtesy
- Ability to work with frequent interruptions
