The Naval Nuclear Laboratory comprises the U.S. Department of Energy locations and personnel responsible for developing advanced naval nuclear propulsion technology, providing technical support to ensure the safety and reliability of our nation’s naval nuclear reactors, and training the Sailors who operate those reactors in the U.S. Navy’s submarines and aircraft carrier Fleets. The Naval Nuclear Laboratory includes the Bettis and Knolls Atomic Power Laboratories, the Kenneth A. Kesselring Site, and the Naval Reactors Facility which have proudly supported the nation since 1946. The Naval Nuclear Laboratory has nearly 8,000 employees working at primary locations in Pennsylvania, New York, South Carolina, and Idaho. The Naval Nuclear Laboratory also has an established presence at numerous shipyards and vendor locations around the globe. Job Description

The Ship Reactor Engineering subdivision is looking for an administrative assistant. Responsibilities include performing clerical and administrative duties to support the subdivision and working with a team of Administrative Assistants. The work involves the use of various computer programs and evaluating and assimilating information for accuracy and agreement with local standards and procedures. The work also entails applying administrative skills and knowledge of policies, practices and procedures to enhance organization effectiveness.


Specific tasks include, but are not limited to, the following:

  • Preparing, maintaining, and tracking a variety of data. May also involve analyzing data and informing management of results and/or trends.
  • Creating, communicating, and enforcing procedures and templates for a variety of written and electronic communications.
  • Utilizing broad and comprehensive skills and knowledge to develop and implement creative solutions to complex administrative problems.
  • Screening telephone calls and receiving / directing visitors; resolving a wide variety of complex inquiries. May also involve responding to inquiries on behalf of management.
  • Scheduling and maintaining a calendar of appointments, meetings and travel itineraries and coordinating related arrangements. This can also involve handling and coordinating complex travel requests which may include groups, emergent travel, and/or foreign travel.
  • Developing administrative processes in support of FMP needs. Identifying potential changes in administrative activities that improve Laboratory performance and initiates appropriate actions. Providing input into administrative standards.
  • Utilizing computer applications to improve functional operations. Providing assistance and training to other end-users.
  • Ensure office equipment is maintained, initiating troubleshooting efforts as needed; ensuring the necessary equipment is available for the end user.

Required Combination of Knowledge and Skill

High school diploma or equivalent and a minimum of six years of relevant or; Associate degree in a related field from an accredited college or university and a minimum of two years of relevant experience or; Bachelor degree in a related field from an accredited college or university

Preferred Skills

Experience with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, SharePoint)

Experience with developing and maintaining SharePoint sites

Experience with Adobe and/or Bluebeam

Experience with setting, coordinating, and managing personnel travel plans

Effective written and verbal communication skills

Effective organizational skills

Demonstrated teaming behaviors and collaboration skills

Demonstrated excellence for document quality and process execution

Willingness to learn new skills/tools
