LOCATION:
OVERVIEW
The Senior Content Editing Associate is responsible for performing, coordinating and supporting the Lippincott Learning content team. Responsibilities include coordinating content development and review, invoice processing and submission, and other duties to support the editorial/content
DUTIES & RESPONSIBILITIES
Administration
  • Manage invoicing for subject matter experts, peer reviewers, clinical editors, authors, external vendors, and other freelancers to ensure invoices get paid in a timely fashion; tracks departmental budget.
  • Serves as point of contact for department.
  • Set up and organize meetings for team, ensures department has needed supplies.
  • Manages customer service correspondence and queries related to business/departmental matters.
  • Take and distribute meeting notes for meetings, editorial board meetings and conference calls.
  • Track and analyze usage analytics; supports departmental projects.
  • Assist product leads with creating and maintaining editorial lineups and schedules.
  • Perform other job functions to support department business, editorial and operations goals, as assigned.
  • Upload files to the appropriate systems.
Editorial
  • Coordinates content from inception, development, and publication.
  • Performs quality control checks for content in all versions and works to correct errors.
  • Work independently, taking initiative and ownership of tasks and requiring minimal supervision.
Communication
  • Respond to calls and emails from internal team and external customers as needed.
  • Assists in arranging departmental meetings and calls.
  • Work interdepartmentally with team and others, as appropriate.
Digital Support
  • Support network and content systems as appropriate.
  • Assist with developing and monitoring content on appropriate product sites.
New Product Development / Special Projects
  • Assist in researching and developing new content areas and contributors as assigned.
Other Responsibilities
  • Coordinate the release of content for the product
    • Prepare network folder structure and files for each release
    • Update information in appropriate system for new subject matter experts (SMEs) and clinical editors
  • Prep content files for SMEs
    • ensure the content is in the proper template
    • place instruction comments
  • Coordinate collection of payment and disclosure forms from SMEs, as well as invoices
  • Update and create project tracking documents
  • Send course files to SMEs, peer reviewers, and copyeditors, and others for each batch per deadlines, communicate and enforce deadlines
  • Receive completed SME files and forward to appropriate WK staff
  • Manage copyediting process, including freelancer selection, emailing files, saving files to network, notifying WK staff when files are ready to be addressed, and invoices
  • Triage any emails that they receive from SMEs or FLCEs to the WK editor
  • Triage any emails that they receive from copyeditors to the Managing editor
  • Final manuscript review
  • Assist clinical editors and managing editor as needed
QUALIFICATIONS
Education: BS in English or other appropriate degree
Experience:
  • 3 years of experience in editorial support/coordinator role
  • Proficient in Microsoft Office programs
