Our client is excited to be hiring an experienced Site Administrator to join their team onsite in Intel.
This is an on-going temporary position where you will be responsible for providing administrative support to a team of Project Supervisors and will be working in the main Intel building.
You will be in a hybrid position where you will need to be working 50/50 at home and in the office.
ADMINISTRATIVE SUPPORT / GENERAL ACTIVITIES:
· General office administration (office supplies, contact with cleaning company, landlord etc.)
· Travel / meeting coordination / management
· Administration support for account supervisors & manager
· Supports planning, organization and realization of all administrative tasks, schedules and meetings as well as regional and corporate information distribution and filing
· Creating, supporting and providing presentations
· Monitor timesheet data entry (SAP) of FSE population; correct – amend if necessary
· Finance support (check incoming invoices, support internal approval process and distribute appropriately, follow up on reminders)
· Monitors on a weekly basis utilization reports, per job type (warranty, contract, funded projects, charts against plan/forecast)
· New worker onboarding
· Weekly report of contract labour usages
· Weekly safety KPI communication to FSE population
· Monthly safety report
· Tracking staff certifications (statutory, Company, customer specified etc.), scheduling & executing
· Manage business mobile phone accounts
FIELD SUPPORT ADMIN ACTIVITIES:
· Prepare SAP quotations according to instructions and procedures
· Support of internal order fulfilment, cleaning and booking process.
FINANCIAL: service and refurb contracts:
· Create and change quotations for service contracts and refurb business
· Create, modify and close service & refurb contracts – send service contracts
· Receive service contract POs
· Support refurb order fulfilment, cleaning and booking process
FINANCIAL: paid services / install, warranty and evaluations
· Receive quotation requests from the field
· Write and modify quotes (manpower): get info from supervisors
· Create, change and close Service orders for install, warranty and evaluations
· Invoicing, accounts receivables tracking and follow up
Others :
· May perform other related duties as assigned or requested.
