Sr Administrative Assistant (Grant Funded) - Central Campus
Essential Job Functions:
Serve as the primary point of contact for the Grant Director and the Department and provide customer service to students, faculty, staff, and administrators.- Enter and maintain calendar and appointment scheduling for the Director.
- Collect, compile, enter, submit, and maintain data for as well as create reports for all areas within the Department
- Create, submit, maintain, and serve as the point person for departmental work orders, service, IT requests, staff relocations on campus.
- Schedule and coordinate meetings, special events, and travel for Title V employees.
- Work with Grant Director and Title V Coordinators to update brochures, materials, or website.
- Maintain inventory of office supplies and order as needed, as well as assist with purchasing supplies for special events and special projects for areas within the Department
- Prepare, enter, oversee, and maintain Department budget in Banner, including entering and creating budget transactions following US Department of Education federal grant guidelines as well as SJC policies and procedures.
- Perform general office duties such as: type letters, memos, spreadsheets, forms, and reports to include federal grant reporting as required.
Additional Job Functions:
- Compile, create, enter, submit, and maintain Pcard Expense Reports for departmental expenditures.
- Provide support to new employees within the department during the onboarding experience and maintain continued support for current employees (i.e. create EPAFs, network access, key request, and employee inventory).
- Other duties as assigned
- Must be extremely accurate and have excellent proofreading, grammar and spelling skills.
- Must be able to work in a team environment.
- Excellent telephone etiquette, language & public relations skills.
- Accurate with details.
- Ability to work well under pressure with minimum amount of supervision.
- Knowledge of SCT Banner requisition, payroll and student modules.
- Proficiency in Microsoft Suite.
- Ability to learn new software requirements to support office functions & efficiency and demonstrate proficiency.
- Positive & professional attitude & dress.
- Demonstrate excellent organizational, critical thinking, problem solving skills.
- Adapt to learning new tasks & skills.
- Possess a thorough understanding of and adhere to FERPA guidelines governing confidentiality of student material.
- Excellent oral and written skills.
- High School Diploma or equivalent required.
Preferred Education:
- Associates Degree Business, Office Administration or related field.
Required Experience:
- Three (3) years of office clerical or administrative support experience in a multi-department office or an equivalent combination of education and experience to successfully perform the essential duties of the job.
- Intermediate skill level in Microsoft Office – Word, Excel & PowerPoint.
- Budget management experience
- Customer service experience
- Two years office management experience supporting executive level or upper management personnel.
- Experience in higher education.
- Experience with SCT Banner software
Grant-funded positions are contingent on the continuation and the availability of grant funds
Salary Grade: 14
