Purpose

The Sr. Specialist, Marketing Operations – Digital Asset Management will lead the implementation and execution for Digital Asset Management and will provide marketing support services to assigned Brands. These services will include PRB Management, Digital Asset Management and Literature Fulfillment. The Marketing Operations team will adapt alongside these commercial organizations as they change in size and promotional orientation. Specifically, this team will evolve with the commercial units as they further adopt remote and digital promotional tactics. Critical to the success of this role and the team is the ability to meet the service needs of internal and external stakeholders while continuously delivering process improvements to drive efficiency and effectiveness.

Main Responsibilities

Digital Asset Management (DAM)

  • Successfully set-up and supervise the technical implementation of DAM system
  • Create processes or workflows for asset management
  • Efficiently upload, manage, and organize all digital assets (naming, storage, housekeeping)
  • Check for consistent branding and quality
  • Ability to analyze system data and report performance and usage metrics
  • Must understand and be able to maintain legal compliance and copyrights
  • Manage asset taxonomy and nomenclature for accuracy and consistency
  • Tag metadata when needed

Promotional Review Board

  • Responsible for management and strategic oversight of Promotional Review Board process assigned products.
  • Responsible for supporting the Promotional Review Board process as an individual contributor per assigned Business Unit.
  • Manage projects in Veeva Promomats working closely with Marketing, Sales Training, Regulatory and Medical ensuring deadlines are met. Collaborate with advertising agencies to ensure projects are managed efficiently.
  • Responsible for scheduling and facilitating weekly PRB meetings. Participating in PRB meetings across other Business Units as needed.
  • Ensure compliance of Standard Operating Procedure and PRB Guidelines by all PRB participants.
  • Lead PRB process and Veeva platform on-boarding training for new hire Chiesi employees and Agencies. Oversee annual refresher trainings.
  • Co-Lead the Promotional Review Board Quarterly review committee meetings.
  • Generate reporting metrics in Veeva Promomats and analyze data to measure compliance adherence. Utilize data to identify gaps and proactively seek solutions to problem solve and increase efficiency.
  • Update Quarterly scorecards, via Excel PowerPoint, utilizing report data to be shared with internal stakeholders.
  • Utilize data and process experience to identify gaps and proactively seek solutions to problem solve and increase efficiency.

Literature Fulfillment

  • Act as the primary point of contact between Marketing, Sale

Experience Required
Minimum of 4-6 years in a supportive role in marketing, marketing operations, event management or sales preferably in pharmaceutical, medical device or related industry.
Experience with DAM, project management and ticketing tools
Experience with taxonomy, file storage and maintenance of copyrights
Independent team player with a strong background in project management as well as customer service.
Task oriented with excellent sense of priority, analytical and interpersonal skills with keen attention to detail. Must be able to manage multiple priorities.
Excellent written and oral communications skills and ability to interface with all business groups at all levels.
Proficiency in Microsoft applications (Outlook, Word, Excel, and PowerPoint).
Experience with Veeva Promomats preferred but not required.
Knowledge of Martech in general
Education
B.A./B.S.in business management or marketing or related field from a four-year accredited university
