Job description
General Statement
The Staff Assistant for the Office of Diversity, Equity & Inclusion (DEI) is an integral member of the DEI Staff. They will assist with overseeing all operational functions of the DEI Office as well as liaise between department heads, students, faculty, staff, and other stakeholders. In addition, they will provide administrative support to the Executive Director of DEI on DEI events and initiatives.

May supervise full-time and part-time clerical support and work study students. Will also oversee vendors' services.
Duties and Responsibilities
- Assists the Executive Director of Diversity, Equity, and Inclusion, with duties pertinent to DEI, including creating and distributing promotional materials and campus communications for DEI events and initiatives, reviewing presentations/Program outlines, and coordinating meetings/events by scheduling rooms and catering, notifying participants, and preparing and distributing meeting minutes and other materials.
- Coordinates the preparation of the fiscal year budget request and financial reports, tracks the budget cost center. Which includes including processing and tracking purchase orders and travel reimbursements, monitoring developmental budgets and expenditures, and coordinating vendor contracts, purchases, and payments.
- Coordinate with the Office of Student Life and Leadership, the Executive Director of Diversity, Equity, and Inclusion, and other campus and community partners on DEI Programming, events and initiatives.
- Assist with in-person and virtual event logistics for the Office of DEI, including preparation of event/meeting materials, communications, purchase orders and vendor payments
- Assist in organizing logistics and communications to the DEI committees (President's Advisory Committees on Equity (PACE), Equity Council and Diversity Caucus)
- Manages activities for the Office of DEI, such as document production, information distribution, scheduling and planning meetings, and ordering inventory/supplies and tracking and maintaining a filing system for DEI programming/ events.
- Serves as receptionist for Executive Director of Diversity, Equity and Inclusion, appropriately assisting visitors, answering phone calls, responding to and /or forwarding inquiries to appropriate parties for action, with high- quality service to all.
- Understand and embrace the ideals of diversity, equity, inclusion & Justice (DEIJ) and support the equal and equitable rights of all people/ (social identities) by advancing the understanding and appreciation of differences including (and not limited to) age, race, gender, ability, religious convictions, socio-economic status, ethnic heritage, sexual orientation, and intersectionality
- Exercise judgment in a multi-tasking environment and adjust priorities as required
- Maintain an efficient filing system for quick retrieval of information
- Maintains share databases and files using various computer programs including but not limited to Microsoft Word, Excel, Power Point, Outlook, and SharePoint
- Represent the Office of DEI in a professional, service-orientated, and welcoming manner
- Collaborate and develop working relationships with all levels of internal and external stakeholders across campus and the community
- Exhibit a high degree of professionalism and judgment demonstrating discretion and respecting confidentiality
- Perform brief research on logistics of DEI events/programming
- Perform other duties as assigned
Job Requirements:
Minimum Qualifications
- Associates Degree in Business Administration, Office Management, or a related field.
- Two years of experience in an administrative position.
- Experience with purchase orders, budget allocation, and budget management.
- Awareness of diversity, equity, and inclusion matters.
- Ability to learn and use a variety of computer applications, including Microsoft Word, Excel, Power Point, Outlook, and SharePoint
- Ability to work well in a team environment
- Excellent interpersonal, oral, and written communication skills; Demonstrated ability to communicate effectively and to work with a wide range of constituencies in a diverse community
- Excellent in-person and phone customer service skills
- Ability to maintain a high level of confidentiality
- Excellent time management skills and ability to juggle multiple tasks
Preferred Qualifications
- Bilingual or multicultural, Spanish language fluency preferred
- Multicultural / intersectional lived experience
- Demonstrated commitment to discussing, integrating, and promoting diversity, equity, inclusion, & justice (DEIJ)
