Student Records Administrative Assistant
Position Summary
Directly responsible for performing a variety of clerical and administrative duties for the Office of Student Records. Assist students, faculty and staff with questions regarding academics, transcripts, enrollment and graduation. This position reports directly to the University Registrar.
Essential Duties and Responsibilities
1. Provide clerical support for the Office of Student Records including but not limited to:
- Processing incoming/outgoing email, mail, faxes, producing routine correspondence, as well as official documents for the Registrar’s signature.
- Making necessary copies of correspondence or other printed materials.
- Maintaining electronic student and office files.
- Maintaining and organizing the general supplies for the department.
- Process submitted forms and route to appropriate personnel
2. Perform receptionist duties for the Office of Student Records including, but not limited to:
- Greeting visitors.
- Providing information and referrals.
- Answering telephone and determine the nature of calls.
- Taking accurate messages and routing calls in a professional manner
3. Scans, links and retrieves documents, files, records and reports in the Perceptive Content database.
4. Works closely with the Records Management Coordinator to ensure records retention schedule is maintained.
5. Process Colleague transactions including, but not limited to:
- Registration, adding/dropping classes, entering grades, program/major changes, processing enrollment verifications, name and address changes, grade changes, FERPA requests and unofficial transcript requests.
6. Participate in new student registration and graduation events.
7. Other special projects assigned by the University Registrar.
Education, Certifications and/or Licenses
- Required High School Diploma or General Education Degree (GED).
- Associate Degree or minimum of 30 college-level credits or higher preferred.
Experience
- 1-3 (one to three) years office experience required, preferably within a higher education environment.
- Previous experience utilizing Ellucian Colleague student module and Perceptive Content imaging system desired.
Knowledge, Skills & Abilities
Knowledge of:
- Proficient use of a multi-line phone system and standard office equipment.
- Ability to type 50 wpm.
- Knowledge of standard office practices and procedures, including electronic indexing.
- Ability to schedule and coordinate appointments.
- Demonstrated proficiency with a desktop computer as well as an integrated computer system.
- Demonstrated proficiency with current word processing, e-mail and spreadsheet software programs.
- Ability to be discrete in handling confidential matters, while complying with FERPA & privacy regulations.
- Ability to work independently in the most efficient manner with minimum supervision.
- Ability to handle multiple tasks while maintaining a high attention for details.
- Comparable organizational skills to work productively and efficiently in a high traffic office.
- Ability to maintain a professional appearance and office atmosphere.
- Ability to relate well to a diverse group of individuals.
- Knowledge of and the ability to support and adhere to University and office policies and procedures.
- Ability to maintain a positive attitude and good judgment under pressure.
- Ability to provide and demonstrate quality customer service.

- Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.
- Ability to effectively present information in one-on-one and small group situations to students, employers and other University employees.
- Pleasant and clearly understandable phone voice.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
- Ability to deal with problems involving a few concrete variables in standardized situations.
- Collaborate with marketing teams, creative teams and clients.
- Experience in managing a workload including multiple projects and production schedules required.
- Demonstrated ability to work well under pressure and to consistently meet. deadlines while maintaining a high attention for details.

- Ability to explain technical aspects of system to those whom have limited technical knowledge.

- Ability to measure, test and analyze competitor efforts to determine advantageous marketing campaign strategies.
- Ability to follow internal branding and style guidelines to the letter.
- Ability to work occasional evening and weekend hours during early and regular registration dates and times.
- Ability to complete all physical tasks as needed.
