Job description

We are currently inviting applications for a Switch Board Operator/Reception Office Administrator to join our Front Office Team at Sheen Falls Lodge.

Scope and General Purpose of Job: To answer all incoming calls in a timely manner and to direct all calls appropriately. To assist with administrative duties at the Front Office

Reporting to: Front Office Manager

Responsibilities:

  • You will be the first person a guest interacts with when they make telephone contact with Sheen Falls Lodge, and you will also be responsible for directing enquiries/calls to relevant departments.
  • To assist with any administrative duties as assigned including the issuing of gift voucher.
  • To assist with check in/check out as required.
  • General office duties as assigned.

Working roster: 9 -6pm or 11-8pm, 5 over 6 days to include Saturdays and some bank- holidays.

Main Duties:

  • Manage all switch board calls and emails to ensure smooth running of the operations.
  • To assist with administrative duties carried out at the Front Office.
  • To assist with enquiries in a timely manner either by telephone or email and communicate with departments as appropriate.
  • Update comments on guest bookings on a regular basis as required.
  • Have the ability to maintain customer relations with guests, travel agents, tour operators and any other suppliers.
  • Assist with check in/ check out process as required.

Profile description

Requirements:

  • Fluent English - both oral and written.
  • Be able to demonstrate proficiency in Excel, Word and Outlook.
  • Be able to demonstrate previous experience in telephone answering and administrative experience in a busy office environment.
  • Local knowledge is an advantage.
