Job Type: FullTime 8:305pm Monday thru Friday
Provide administrative support to the General Manager and the Property Management team, as well as provides support to the organization for the daytoday operations. Qualifications:
Selfmotivated individual, goaloriented with ability to multitask
Strong customer service skills with friendly disposition
Prominent telephone and computer skills with proficiency in Word, Excel, Outlook
Ability to navigate the internet and social media for projects with minimal assistance
Excellent written & verbal communication, organization, timemanagement and problem solving skills
Strong attention to detail and accuracy a must
High level of professionalism and interpersonal skills expected
High School diploma required
Responsibilities:
Responsible for front desk coverage on daily basis.
Answers and screens all incoming calls into the office and responds to all inquiries in a timely manner or transfers calls to other staff members accordingly.
Prepares a wide variety of documentation for the organization as needed including confidential items via collected or received information.
Collects, sorts and hands out incoming mail. Processes outgoing mail to send out daily.
Stamps & inputs invoices received into the Invoice log for tracking purposes by Accounting.
Responsible for filing documentation for tenant files, contractor files and other files as needed.
Maintains various spreadsheets daily such as the maintenance work order log, daily light report, parking pass log, checks received log, and the refund reports for various vending machines on property and ensures that processes are completed.
Responsible for processing the monthly Sales Report to send to Accounting Manager for review thru tenant sales collection, entering & posting sales into MRI and completing sales pages of report.
Orders and maintains supplies for the office, copier, kitchen, etc
Assists in preparing agreements for Tenants, Vendors, and Special Events as well as insuring receipt of supplemental items needed such as Certificate of Insurance, W9’s, organizational documents, etc.
Responsible for coordinating the reception of unexpired Certificates of Insurance from Tenants and Contractors on a routine basis and ensures form meets requirements.
Assists Accounting department with projects and to meet certain deadlines.
Assists with Marketing as needed.
Any other task as needed
