TITLE AND CLASSIFICATION

Transportation Fleet Coordinator

Non-Exempt (Hourly)


SUMMARY: The Transportation Fleet Coordinator works to ensure that all vehicles in the Agency’s fleet are safe and in good working order. Responsible for vehicle maintenance, coordination with outside maintenance vendors, recordkeeping, and keeping up to date on transportation regulations as applicable. Since the vehicles at Adult Day Services require the largest amount of attention, this position shall work out of the Adult Day Services facility, but is expected to travel to every Agency site.


TRANSPORTATION RESPONSIBILITIES – Adult Day Services VEHICLES

  • Ensures Adult Day Services’ fleet and Commercial Drivers License (CDL) drivers comply with Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), any other regulatory bodies and/or company policies.
  • Maintains an appropriate schedule within time frame determined following established routes. Adjusts routes to meet the demands of additional passengers, driver shortages caused by turnover or illness and vehicle maintenance issues.
  • Prepares and inspects vehicle for daily use, includes checking tire pressure and vehicle fluid levels. Ensures vehicles are scheduled for routine maintenance and reports any need for repairs to the program director.
  • Responds in a timely manner to reports from drivers of any maintenance or operational issues with a vehicle.
  • Ensures maintenance records and costs are entered into the Agency’s vehicle maintenance tracking system
  • Ensures vehicles are cleaned inside and outside on a regular basis.
  • Maintains vehicle travel log recording daily passenger list, mileage, and fuel expenses.
  • Monitors the age, condition, operating reliability and cost of all vehicles to evaluate the need to replace any vehicles that have outlived their economic life.
  • Attends meetings related to transportation.
  • Coordinates all insurance claims, including filing the claims, responding to insurance company queries and coordinating the covered repairs.
  • In collaboration with the Facilities Manager and Adult Day Services Program Director, review, develop and revise transportation policies.
  • Performs other related duties as assigned.

TRANSPORTATION RESPONSIBILITIES – OTHER AGENCY VEHICLES

  • Regularly travels to Harbor House, St. Anthony Family Shelter, Supportive Services for Veterans and Families and Our Daily Bread to inspect the condition of vehicles stored at the location.
  • Ensures vehicles are scheduled for routine maintenance and reports any needs for repairs to the program director of the ministry that operates the vehicle.
  • Ensures maintenance records and costs are entered into the Agency’s vehicle maintenance tracking system.
  • Monitors the age, condition, operating reliability and cost of all vehicles to evaluate the need to replace any vehicles that have outlived their economic useful life.
  • Ensures vehicles are cleaned inside and outside on a regular basis.
  • Performs other related duties as assigned.


EDUCATION AND EXPERIENCE:

High School Diploma or equivalent. General knowledge of vehicle maintenance is preferred, but not required.


CERTIFICATION, REGISTRATION OR LICENSE:

Class C driver’s license and Commercial Driver’s License (CDL) for vehicles of 16 passenger capacity or more. License must be acquired within six months of employment. Valid Kansas Driver’s License.


EXPERIENCE:

Minimum six months of driving experience. Experience inspecting vehicles and vehicles' equipment to identify the cause of errors or other problems or defects. Servicing, repairing, adjusting, and testing bus, devices, moving parts, and equipment that operate primarily on the basis of mechanical (not electronic) principles. Experience in preparing and submitting reports to regulatory bodies.


SKILLS AND ABILITIES:

Safe driving record verified by Department of Motor Vehicles; knowledge and ability to inspect and maintain vehicle; familiarity with city streets or ability to read map and follow directions; training in first aid and cardio-pulmonary resuscitation preferred. May make some alterations when following established procedures.
