Description of Work Unit
The Association for Undergraduate Education at Research Universities (UERU) is a national consortium of research universities dedicated to innovation and excellence in undergraduate education. Founded in 2000 and housed at Colorado State University since 2013, UERU has over 100 dues-paying (and additional non-dues paying) member institutions and is governed by an elected board. UERU supports Undergraduate Vice Provosts/Presidents (UVPs) particularly via a schedule of meetings at member institution campuses, a national conference, and additional events, colloquia, and virtual networking opportunities and resources.

Position Summary
The UERU Interim Coordinator reports to and works as a member of the UERU Home Office team to provide event and conference planning and coordination, project coordination, communication coordination, and administrative and program support.

Position Minimum Qualifications
  • Bachelor’s Degree;
  • Demonstrated attention to detail with strong communication, customer service, and organizational skills;
  • Conference or event coordination and production experience.
  • Ability to travel to in-person conferences, as needed.

Preferred Qualifications
  • Member or constituent management experience in an association or similar context;
  • Ability to anticipate needs and prioritize tasks;
  • Experience working as an administrative support person in a professional office setting or similar environment;
  • Experience using data to create reports for a general, non-technical audience;
  • Website management experience;
  • Experience and proficiency with using social media and event app platforms;
  • Strong interpersonal skills and ability to interact well with diverse constituents;
  • Experience with and proficiency in using Microsoft Office Suite, particularly Word, Excel, and Outlook;
  • Knowledge of Colorado State University resources and processes;
  • Proactive approach to work and the ability to anticipate needs;
  • Ability to be resourceful and provide solutions;
  • Demonstrated commitment to diversity and inclusion.

Event Coordination and Project Support

Duty/Responsibility
  • Conference and event coordination and production for in-person and virtual UVP meetings, colloquia, institutes, and national conferences; attend events and conferences for onsite event production and logistics; work directly with event vendors, troubleshoot event issues, and support UERU leadership while in attendance.
  • Support the home office staff regarding Higher Logic community implementation; promote continued engagement through online interactions, including information sharing and soliciting questions from members; stay up-to-date on Higher Logic developments and best practices through the use of the Higher Logic Users Group and training opportunities; create and evaluate assessments and benchmarks related to usage and member needs, and use results in order to exercise judgment and decision-making to enhance and streamline processes and practices.
  • Maintain membership database in Airtable for constituent tracking to facilitate improved member services, and track interactions with members and potential members;
  • Assist with maintaining the UERU website and social media;
  • Research, analyze, and exercise judgment and decision-making to oversee implementation of systems, policies, procedures, and guidelines to increase efficiency and enhance communications through organization and tracking of issues, resolutions and documents.

  • Support the home office staff regarding Higher Logic Thrive implementation; promote continued engagement through online interactions, including information sharing and soliciting questions from members; stay up-to-date on Higher Logic developments and best practices through the use of the Higher Logic Users Group and training opportunities; create and evaluate assessments and benchmarks related to usage and member needs, and use results in order to exercise judgment and decision-making to enhance and streamline processes and practices.
  • Maintain membership database in Airtable for constituent tracking to facilitate improved member services, and track interactions with members and potential members;
  • Research, analyze, organize, and manage materials to facilitate preparation for meetings, travel, and events;
  • Respond to membership inquiries, manage tracking of inquiries and non-responsiveness to communications, oversee tracking process of event attendance for prospect outreach and cultivation, and assist Assistant Director with development of promotional materials.
  • Preparation of meeting materials for UVP meetings, biennial national conferences, specialized network meetings, and meetings of the Board.
  • Oversee annual dues invoicing process, including invoicing, follow-up communications, and receipts;
  • Attend UERU Board and committee meetings to record minutes and distill and synthesize complex verbal information into succinct text;
  • Help to prioritize and respond to daily volume of incoming communications for the UERU home office; identify and prioritize situations or issues; provide excellent customer service;
  • Assist with accepting credit card payments over the phone while adhering to all data security processes and procedures;
  • Other duties as assigned.
