JOB TITLE: Unit Secretary

DEPARTMENT: Nursing


JOB SUMMARY:

Performs numerous and varied clerical and medical office job duties to support the nursing staff in a fast-paced environment. Maintains confidentiality of resident information.


JOB QUALIFICATIONS:

Education: High school education required. Some college courses taken in

business or health care preferred.

Experience: Experience required in using computers. Experience preferred in using copiers, printers, scanners and fax machines. Some health care experience or office experience preferred.

Job Qualifications: Ability to (or ability to learn to) read, write and understand medical terminology. Must be able to maintain confidentiality. Must have good communication, interpersonal and organizational skills, and also be detail oriented. CNA preferred, but not required.

ESSENTIAL JOB FUNCTIONS:

  • Maintains confidentiality in accordance with privacy laws.
  • Changes the orientation board for residents (dates, weather, holidays) every morning on the nursing unit.
  • Scans documents into residents’ electronic medical record, ensuring they have the necessary

signatures/initials/verifications before being added to the medical record. Ensures the documents are scanned onto the correct chart and into the correct category with the correct document name.

  • Does all necessary paperwork and follows necessary steps to process: admissions, readmissions, discharges, expirations, transfers to hospitals, room changes, floor changes, etc.
  • Does lab requisitions to set up lab work: sets up routine lab requisitions for lab work to be performed in accordance with the residents’ current lab orders; sets up lab requisitions on new admissions, as nurse directs. Maintains lab tracking schedule in lab book. Marks on the tracking schedule when the lab report returns. Does follow up with the lab company if report is not returned in a timely manner.
  • Assists in maintaining diagnostic tracking schedule book for x-rays and diagnostic tests performed by the mobile imaging company which services our facility. Does follow up with the mobile imaging company if report is not returned in a timely manner.
  • Sets up transportation for residents to go to doctor appointments (including calling the transport companies, completing the necessary paper work, adding the appointment to the computerized calendar). Cancels transport and doctor appointments if necessary. Reschedules transport and doctor appointments if necessary. May be asked to call residents’ family to ask if they can accompany resident on transport to the doctor appointment. When a resident is transported to the hospital or doctor’s office, prints out all necessary documentation from a resident’s record to give to the hospital and emergency transport driver and follows all steps associated with this process.
  • Faxes prescriptions and doctors orders to pharmacy; does other faxing if necessary.
  • Checks fax machine in nursing office multiple times a day to retrieve lab reports, diagnostic reports, and other documents pertaining to residents; then follows the necessary processes pertaining to that document.
  • Checks secretary trays mounted on wall in the nursing office multiple times a day to retrieve paperwork. Deals with paperwork as necessary.
  • Does routine blood sugar stick counts monthly on all applicable residents. Faxes those totals to the Resident Accounts Office.
  • Answers the telephones, transfers calls, pages over the intercom.
  • If asked, directs visitors to rooms or other parts of the building.
  • Makes copies as necessary.
  • Organizes the nurses’ stations.
  • Assists nurses as needed with clerical/office tasks.
  • Keeps nursing units stocked with supplies and forms. Requisitions supplies and forms when necessary.


Full vaccination against COVID-19 or a medical/religious exemption is required.

Salary/ Wage Range

Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies and experience and may fall outside of the range shown.
