The Ward Manager with regard to the satisfactory implementation of day to day ward clerical duties
The Clerical Support Supervisor with regard to quality of work performance, training needs and personnel issues.

Salary:
Appointment will be made on salary scale (€25,352 – €39,983 LSI €41,503) at a point in line with Government pay policy.

Hours of work:
35 hours full time Monday-Friday

Role of The Ward Clerk
Under general supervision and following established policies and procedures provide an efficient, friendly support service to the Ward. Act as a clerical resource person for the nursing unit for individual aspects of patient care. Serve as a key communication link between the healthcare team, patients, families and other hospital departments.
Responsibilities:
Key Tasks:
  • Collect ward census report from TUN Support Office each morning and verify the accuracy of the information contained therein with Ward Manager. Update information on the BHIS i.e. check:
    1. Consultant
    2. Diagnosis
    3. Admission Referral/Source
    4. Specific Renal Admission Code
  • Print ward list from PIPE. Check staff allocation for the ward and mark up ward list the nurse assigned to each patient.
  • Identify new patients to ward – print labels, wristbands and ensure chart is on ward.
Patients Medical Records
  • Ensure that the Medical Record is available for all patients on the ward
  • Ensure that all medical records are tracked in and out of the ward to appropriate division i.e. Consultant Secretary, Coding Department, Dialysis Unit or Medical Records Department in accordance with hospital policy
  • Report missing Medical Records - conduct a search within the TUN Directorate, check possible location on the tracking system and report the outcome to the Medical Records Department and Ward Manager
  • Ensure that medical records are adequately maintained during the patient’s admission as per Medical Records Quality Control Guidelines, organise for large charts to be sent to Quality Control or splitting as required
  • Ensure that the medical record on discharge of the patient is adequately prepared in accordance with medical record policy for maintaining records and sent to the Coding Department
  • Carry out weekly chart audit as per Medical Records Policy.

Reception Duties
  • Receive and process telephone enquiries to relevant staff
  • Make outgoing calls as required
  • Receive patient's relatives and visiting staff to the unit and help process their enquiries
  • Direct visitors to patients, as appropriate
  • Arrange Transport for Discharge Patients

General Duties
  • In consultation with Ward Manager identify patients who are flagged for discharge and arrange transport in advance
  • Liase with the Consultant Secretary with regard to ensuring patients have follow up outpatient appointments
  • Assist in the process of early completion of death certificates and their safe delivery to the Death Certification Office
  • Carry out typing pertaining to ward administration i.e. memos; notices etc.
  • Maintain stationery supplies – forms, care plans, A4 paper, pens, sellotape, etc. at the recommended stock level
  • Maintain and update as necessary, telephone directories for the above areas
  • Distribute post to the staff and patients
  • Maintain a tidy nurse’s station and remove out of date information from notice boards on a regular basis in consultation with Ward Manager
  • Carry out any other administrative duties as assigned by the Ward Manager
  • Photocopying, emailing, as required for patient care.

This job description represents the main areas of responsibility and is subject to review and amendment in the light of developments.
The job holder may be required to provide clerical support within the TUN Directorate during periods of annual leave and sick leave.
Qualifications:
Selection Criteria
Selection criteria outline the qualifications, skills, knowledge and/or experience that the successful candidate would need to demonstrate for successful discharge of the responsibilities of the post.

1. Professional Qualifications, Experience, etc

(a) Eligible applicants will be those who on the closing date for the competition:
(i) Obtained at least grade D (or pass) in Higher or Ordinary Level in five subjects from the approved
list of subjects in the Department of Education established Leaving Certificate Examination or Leaving Certificate
Vocational Programme or Leaving Certificate Applied..

Or

(ii) Passed an examination of at least equivalent standard

Or

(iii) Satisfactory relevant experience which encompasses demonstrable
equivalent skills

And

(b) Candidates must possess the requisite knowledge and ability, including a
high standard of suitability and administrative ability), for the proper
discharge of the office.

2. Age

Age restriction shall only apply to a candidate where s/he is not classified as a
new entrant (within the meaning of the Public Service Superannuation
(Miscellaneous Provisions) Act, 2004).
A candidate who is not classified as a new
entrant must be under 65 years of age on the first day of the month in which the
latest date for receiving completed application forms for the office occurs.

3. Health

Candidates for and any person holding the office must be fully competent and
capable of undertaking the duties attached to the office and be in a state of health
such as would indicate a reasonable prospect of ability to render regular and
efficient service.

4. Character

Candidates for and any person holding the office must be of good character.
