Job Summary
Duration:
Permanent . A panel may be formed from which future similar vacancies may be filled; such a panel will remain active for a maximum period of 12 months.
Salary: The salary scale for this role is Adminstration Grade 2 between €26,599 - €43,249. As this is a part time position, this will be paid pro rata per annum.* Further information can be found in the candidate booklet.

Basic Function
The person appointed will take on a half time general administrative role carried out over a 2 day/3 day per week rotation. The role is varied operating within a very busy office environment. Due to strict timelines the candidate will be required to be flexible in the days they work, these timelines are known in advance.
The part time hours for this role will be 17.5 hours per week.
Job Objectives
Department of Agriculture, Food and the Marine (DAFM) Scheme Central Administration & Payments**
Co-ordination and issuing of client payments on instruction from DAFM in line with Teagasc best practice procedures.
Liaison with DAFM and finance dept. relating to Teagasc payments for Scheme work.
Processing of Scheme applicant payments on behalf of national advisory to Finance Dept and submission of financial remittances to the relevant offices for uploading to DAFM Agfood.
Invoicing and reporting of monies due to Teagasc based on DAFM agency payments completed and evaluation of penalties incurred (if any).
Providing status reports based on famer payments per enterprise, per region, nationally and overall compliance ratings.
**Not relevant for each DAFM agriculture scheme.
General Administration with Knowledge Transfer (KT) Head Office Dept
Assist with month end processing ensuring all central co-ordinated income and expenditure is fully accounted for each month such as Advisory Service soils programme.
Produce purchase orders in liaison with relevant suppliers combined with event bookings.
Process credit card transactions as requested by each business unit within KT.
Review & liaison with relevant KT staff relating to data displayed on KT public and T-net site
Production of reports from relevant IT and finance systems at regular intervals for use by management and staff.
Administrative assistance is provided to other members of the KT head office team and their functions only at critical timelines.
Provide reception cover for duration of specified leave and tea breaks as per Teagasc head office (Oak Park) rota.
Assist Teagasc in meeting the commitments of the Quality Customer Service charter and action plan through adherence to best practice protocols.
Actively participate in the annual business planning, risk management and PMDS processes.
To fully co-operate with the provisions made for ensuring the health, safety and welfare of themselves, fellow staff and non-Teagasc staff and co-operate with management in enabling Teagasc to comply with legal obligations. This includes full compliance with the responsibilities outlined in the Safety Statement.
To undertake other duties as may be assigned from time to time.

Qualifications
QQI Level 5 Qualification and at least 1 years of general administration experience.
A relevant Level 6, 7 or 8 qualification.
Demonstrated evidence of investment in own personal development and broadening of knowledge, skills and expertise in specialists areas.

Proficient in the extensive use of Microsoft Office particularly MS excel and outlook.
Excellent administration, organisation, time management and oral/written communication skills.
Proven track record of successfully working to strict and competing deadlines.
Good understanding of Knowledge Transfer Directorate and its programmes.
Knowledge and understanding of Teagasc best practice policies and procedures.
Good understanding of CRM/CBM, LIMS, Integra, RSS, EMS and other information management systems.
Understanding of Teagasc stakeholders and external service providers.
