Meals on Wheels of Mercer County
The Administrative Assistant reports to the CEO and assists in general administrative tasks that contribute to the efficient operations in all the areas of the agency.
General duties in all areas:
- Answer phones and redirecting calls to appropriate staff, including calls from volunteers during delivery hours
- Maintain the common area/supply room inventory in an orderly fashion
- Track and orders supplies for staff and projects as needed
- Send correspondence to donors and participants
- Prepare bulk mailings and relevant paperwork
Specific Duties in corresponding areas:
Donor/Funding Area
- Data entry into donor database for the various direct mail campaigns. This includes entering/updating donor profiles Paypal donations etc., running reports as requested and uploading data
- Prepare and track direct mail and all donation acknowledgements
- Prepare donor relations packets
- Support social media efforts
Program Services
- Manage new participant information, recording/updating intake/participant statistics and information into ZIPPY Meals and scheduling intake calls
- Assemble folders for new participants, assist in sending out/tracking signed forms
- Sort billing invoices by routes
- Prepare notices to send to participants (i.e. Nutrition Education, holiday notices) - generally involving mail merge in Word and sorting by route
Volunteer Services
- Organize items to be distributed to volunteers for delivery to participants by route or as directed by Director of Volunteer Services
- Assemble volunteer recruitment packages
- Prepare volunteer badges for distribution
- Support the Director with the annual volunteer luncheon
- Compile volunteer statistics as needed
Assumes other duties as assigned.
Skills Required:
- Associates Degree preferred
- Need to be proficient in Microsoft Word and Excel programs, Google Sheets and Gmail, and be comfortable learning new software (including donor database)
- Detail oriented and ability to multi-task in a busy work environment
- Excellent customer service for when answering phones is needed and impeccable organizational skills
- Having a level of comfort working with seniors is a must
This is a 35 hour a week, on-site position. Benefits include paid vacation, sick time, personal days and retirement and health benefit reimbursement.
