Qualifications

  • High School Education required.
  • Post High School education preferred.
  • Medical secretarial education and training preferred.
  • Minimum of 3 years experience required as an administrative secretary.
  • Customer service experience required.
  • Must be proficient in all aspects of Microsoft Office.
  • Medical and research terminology
  • Advanced computer skills required.
  • Typing - minimum of 40 WPM.
  • Excellent communication and writing skills.

In this role, you will be responsible for:

  • Representing Jefferson and the Network in a professional manner in all circumstances.

  • Functioning independently in completing assignments and acting responsibly in all situations.

  • Managing and controlling complex schedules for network courses, bimonthly orientation programs, and ongoing in-services.

  • Preparing for and anticipating daily departmental calendar requirements.

  • Prioritizing daily workload to meet the changing needs.

  • Coordinating, managing, and overseeing the use of Healthstream Learning Management System and Prism System.

  • Coordinating and overseeing the transition of courses into an automated format.

  • Preparing and managing correspondence, reports, and documents, with all work being professional in appearance.

  • Creating, organizing, and processing conference requests and certification bonuses for network nursing.

  • Ensuring correct charging to the appropriate unit for all conferences, speakers, and intradepartmental purchases.

  • Organizing and maintaining data system for inputting course completion, obtaining staff transcripts, and retrieving policies/procedures.

  • Developing and maintaining an organized system for departmental financial information.

  • Managing clerical duties including photocopying, fax, filing, and mailing.

  • Courteously and promptly managing requests for information and data.

  • Maintaining office supply inventories.

  • Completing payroll.

  • Maintaining professional appearance of the department office.

  • Managing conference room schedules.

  • Accurately creating and processing check requests, invoices, and purchase requisitions.

  • Demonstrating very strong customer service skills; serving as a role model for the Network values and always maintaining a professional appearance.

  • Complying with hospital and network policies regarding confidentiality.

  • Complying with the organization Code of Conduct and Standards of Behavior.
