Position Summary:
To provide an effective, consistent and efficient level of administrative support to the Consultant Radiologists and the Beaumont Breast Centre. Ensure the smooth running of the areas assigned which includes managing the triple assessment clinic patients, admitting and discharging patients to the Radiology Day ward, management of appointments for the area; liaise with Managers/Radiologists/CSR in identifying issues, proposing solutions and implementing changes as needed to meet the demands of the business.
The successful candidate will assist in the provision of an effective, consistent and efficient level of administrative support. This post will also provide a cross-cover service within the Surgical Directorate on an as required basis, as per service and line manager requirements.
Responsibilities:
- Ensure the smooth running of the Beaumont Breast Centre reception area to include Breast Imaging. Ensure patients/clients being attended to, registered, arrived, admitted to Radiology Day ward where necessary and directed to their destinations in an effective manner to prevent undue delays to the departments scheduled lists.
- Schedule appointments for Breast imaging both internal and external hospitals in keeping with the vetting protocols. Print appointment letters, cross check with requests and postage of same. Rescheduling of any cancelled appointment lists / changes in schedule. Print all reschedule letters, crosscheck and postage of same.
- Responsible for inclusion of any preparation leaflets and/or important documents in relation to procedure.
- Responsible for the vetting of routine mammograms and breast MRI scans.
- Registration of GP/External patients onto the BHIS, ordering of exam request for vetting purposes on RIS. Scanning of relevant documentation. Review of vetted worklist; make appointment as above and tracking of same.
- Create patients charts for new admissions onto the radiology day ward ensuring all data is accurate and all forms, labels and notes are printed and filed in appropriate location in the chart.
- Responsible for tracking of charts to and from the breast imaging department.
- Responsible for performing triple ID/demographic checks on all OPD/GP/External/Daycase patients attending the breast imaging department in keeping with the RPII guidelines and where necessary update the BHIS system where any changes are required and ensure these changes flow down to RIS. g. name changes, change of address etc.
- Responsible for notifying the RIS/IT staff of any new GP not entered on the system so these can be created and linked to patient to ensure the report meets their destination/referring clinician.
- Liaise with CSR/Radiologists, Breast Cancer Nurses and medical teams where necessary for queries in relation to preps, scheduling or/on arrival of patients.
- Communicate effectively with the radiographers/clinical specialists/nurses and Radiologists where necessary in relation to queries regarding urgent cases, force bookings, prep issues.
- Communicate effectively with patients in relation to queries, recalls and follow ups as directed by the clinical specialists/Radiologists.
- Monitoring the daily schedules list for the areas assigned to ensure all DNA’s are cancelled and letters are issued back to referring Clinicians.
- Responsible for notifying the RIS office and Death certs of any RIP patients notified to the area to ensure the BHIS and RIS systems are updated.
- Responsible for scanning paper work associated with interventional/biographical details for interventional procedures
- Recording and tracking of follow up/surveillance patients and ensuring timely reappointments of follow-up procedures
- Cancellation of incorrect orders on the system according to cancellation protocols.
Other duties may include (but are not limited to):
- Flexible working approach as per demands of the busy Surgical Directorate
- Awareness of directorate KPI’s, goals and objectives and working with the Directorate Support Supervisor and Directorate Support Manager to achieve same.
- Encourage good working relationships within the multidisciplinary staff of the Directorate and with other Hospital
- Be familiar with the appropriate standards in relation to evaluation of infection control data, compliance with hygiene audits and the hospital’s infection control policies and procedures
- Act with discretion and integrity at all times in relation to sensitive data linked to the directorate or the hospital.
Selection Criteria:
Mandatory:
Leaving Certificate or equivalent
- Excellent MS Office skills to include Word, Excel.
Desirable:
Knowledge and experience hospital IT systems.
- General knowledge of the health service and how it works.
- Good communication and interpersonal skills including the ability to present information in a clear and concise manner.
- Excellent planning and organisational skills including using computer technology effectively.
