The Student Health Care Center at The University of Florida within the department of Community Health and Family Medicine (CHFM) is seeking an Administrative Support Assistant for its Health Compliance Office. The office is primarily responsible for processing immunization and health insurance records for all students in accordance with the university requirements. The position requires a person who exercises professionalism and effective communication skills when engaging with students, families, staff, and other parties involved in student clearance. The individual will be expected to be able to work both independently and as part of the team. The team is responsible for completing a high volume of work with accuracy. The individual must be proactive, have attention to detail, and be responsible for tasks undertaken.

Day-to-day Responsibilities

  • Respond to inquiries by phone or email regarding immunization and health insurance requirements.
  • Educate students, families, staff and other external parties on the health insurance coverage requirements and the student health plan available through the school.
  • Process enrollment of eligible students into the student health plan and advise students about eligibility requirements.
  • Return all communications in a timely and professional manner; escalating these conversations as necessary.
  • Process immunization and health insurance records consistent with the requirements and provide guidance to students on missing items.
  • Process health insurance adjustment requests or requests to clear registration holds.
  • Other tasks as necessary.

Outreach/Education

  • Coordinate with other university departments to target messaging to students and families about the requirements.
  • Provide materials for student orientation events. Staff those events to clear registration holds and speak on the health requirements on campus.
  • Coordinate with UFIT to post One.UF to-do items and registration holds once a term in preparation for upcoming deadlines.
  • Craft and send messaging each term regarding the requirements to students

Immunization Clearance

  • Review and process immunization records for incoming students
  • Work closely with health professions programs, the Student Health Care Center, and other entities to ensure compliance with immunization requirements for clinical experiences such as rotations or residency
  • Collect and process annual screenings for existing students

Administrative Responsibilities

The office workload fluctuates around critical university dates and deadlines. Summer months are spent processing records for incoming students in high volumes and attending orientation events. Each semester is marked by a health insurance waiver deadline where volume peaks and then recedes. The administrative responsibilities detailed below are undertaken once a term and support our processes by ensuring accuracy.

  • Coordinate with UFIT to post insurance charges and send appropriate messaging to students.
  • Coordinate with UFIT, University Bursar, GA Benefits, and other entities to finalize student enrollment in health insurance.
  • Reconcile university invoice from student health insurance plan with student bursar accounts.
  • Audit health insurance records to confirm compliance with coverage requirements.
  • Coordinate with GA Benefits to ensure continuation of health insurance coverage for students on assistantships or fellowships.
  • Update and maintain office materials and website.
  • Other QI projects as necessary.

Expected Salary:

The salary range is $18.30 – $19.35/hour and is commensurate with skills and experience.



Minimum Requirements:

High school diploma or equivalent and four years of relevant experience.



Preferred Qualifications:
  • Bachelor’s degree
  • Excellent customer service, written and verbal communication skills.
  • Knowledge of the Student Information System, PeopleSoft, Microsoft Office Suite.
  • Prior experience in health insurance benefit verification or billing preferred.
