Position Summary:
The Assistant Director, College Operations assists with critical operational and technical processes to support all academic programs in the College of Professional Studies. The Assistant Director aids in ensuring college operations run smoothly and are in line with the University’s policies and procedures. This individual will assist in the ongoing innovation and optimization of college processes and procedures where appropriate.
The Assistant Director will lead course scheduling and catalog maintenance, semester opening/closing activities, course materials management and distribution, college events planning, website maintenance, as well as other activities noted below, in partnership with other teams in the College as appropriate. The Assistant Director, College Operations must possess a thorough understanding of all systems, policies, and processes in the College.

Duties and Responsibilities:
50% College Operations and Course Support:
- Under the supervision of the Director and in partnership with others in the College as needed, creates courses, schedules, and communicates such to the college and other university partners.
- Maintains course change forms for each semester and liaises with the Registrar’s Office to update the Banner master schedules and websites.
- Manages and updates the non-credit and credit catalogue in Banner, retiring old courses, and adding new courses as appropriate.
- In collaboration with the appropriate academic staff, updates all operational handbooks containing internal policies and procedures of the College. Ensures such policies remain in compliance with those of the University and updates as appropriate.
- Oversees the operational processes of course and term opening and closeout activities in collaboration with appropriate academic staff for all applicable programs and courses.
- Manages course material processes for all students and faculty, in partnership with outside vendors and the Director, College Operations.
- In conjunction with the Directors of Operations, Marketing and Communication, develops and schedules CPS Webinar series and other similar programming with College Leadership and coordinates their promotion and execution.
- Supports the process of issuing Teaching Statements of Work for faculty.
25% College Events:
- Leads the coordination and execution of all major College events in collaboration with the Director, College Operations and Executive Assistant.
- Maintains the College Event Submission Form and provides support to all College teams as needed and appropriate.
20% Technology, Applications, and Systems Support:
- Supports overall College technology and applications (Slate, Banner, Adobe, Microsoft, Zoom, AEM, iPrint, LMS, third party learning portals). In collaboration with the Assistant Director of Technology and Operations, assists with planning and implementing new technology requests as needed.
- Oversees the College inboxes, creation of new inboxes, maintenance, coverage schedules etc.
- Maintains and updates CPS-related information on the CPS webpages, and related portals, and course listings for the College’s affiliated professional associations, memberships and partnerships.
- Assists with special projects related to Slate, SharePoint, Microsoft Flow, Zoom and other applications.
5% Additional Responsibilities:
- Performs additional duties and assists with special projects as assigned.
Minimum Qualifications:
- Bachelor’s degree required
- 2+ years of administrative and/or project management experience in a business or academic setting
- Experience in an office environment with a keen understanding of operational procedures. Ability to communicate professionally and support a variety of consituents in person and virtually. Strong project management and problem solving skills. Knowledge of instructional technology (e.g. CRM Systems) and Cloud based data storage(e.g. One Drive, Sharepoint, LMS applications, Zoom, etc.). Experience in web development. Experience in working with hardware and software applications.
- The individual must have strong operations and technical knowledge. Must have excellent written and verbal communication skills. Must have strong organizational skills and a keen attention to detail. The individual must be a self-starter,can handle a fast-paced environment and has the capacity to manage multiple projects/tasks with varied deadlines and minimal supervision. Must have the ability to work as part of a team and support all aspects/functions of the College of Professional Studies
Must be proficient in all standard computer applications, high proficiency in Microsoft Excel is desired. Proficiency in all other Microsoft office products is required. General knowledge of office principles and procedures is required.

Preferred Qualifications:
- Master’s degree preferred
- Experience with adult learners preferred
Physical Requirements and/or Unusual Work Hours:
Participates in events with CPS on occasional nights and weekends
