*Assistant Property Manager: Effective Date: ASAP*

The following is a job description and list of responsibilities, which may change from time to time. This job description mirrors that of a Property Manager. This is an entry-level position with long term growth potential. The duties are as follows:

  • Attend all office Meetings and Training Sessions at GRPM (Green River Property Management).
  • Communication: All Recorded Through Appfolio or JIVE software.
  • Phone calls, emails, texts- Same day if possible, no later than 24 business hours later
  • Return “like” messages. For example, a phone call message requires a phone call response.
  • Make "for no reason" calls (positive contacts, just to say Hi, checking in totay connected) to owners and tenants, especially owners.
  • Monitor repairs and maintenance for properties:
  • Most work orders will be entered by tenants via Appfolio tenant portal
  • Appfolio Maintenance Center will send out requests to vendors
  • Confirm work with vendor, scope, schedule and completed job
  • Contact vendor and/or tenant - be proactive to follow up, as necessary
  • Discuss work as required with property owners when PM is unable; add to property notes in Appfolio
  • Review open work orders weekly - be proactive to follow up, as necessary
  • Closeout Work Orders as appropriate
  • Review vendor performance with property management team to ensure quality of work, responsiveness, competitive rates
  • Notify PM or designate of potential emergencies or problems
  • For all completed work orders, ensure the following is done and entered into appfolio:
  • Photos of completed work, if available
  • Vendor supplied - receive and upload to computer file
  • Property manager photographs the work and uploads to computer file, as required
  • Inspection of vendor repairs if necessary
  • Review vendor bills for payment
  • HOA and Condo Association contacts/complaints. Follow up and ensure that tenants are compliant or charged accordingly.

4. Meet with property owners as needed upon request of Property Manager (PM)

5. Answer phone calls at the office for PM’s as they are out of the office and follow directions given. This is a key responsibility of the position.

6. Assist PM in Reviewing rental applications from the leasing department, approve or deny, return to leasing as necessary. All questionable applications must be approved by VP. A PM does not have authority to approve applications unless approved by VP.

7. Coordination with Leasing Manager:

  • Note year built for EPA requirements, Lead Paint Disclosures as necessary -older than 1978. Follow up with the Lease Coordinator on these properties to ensure Federal Law Compliance.
  • Send move-out letter and move-out procedures to tenant
  • Send move-out notice to property owner- Coordinate with Leasing Department
  • Complete move-out/move-in reviews as required

8. Meet with tenants as assigned by PM

9. Only when assigned by PM-Contact owner and tenant to discuss renewal possibilities, take new marketing photos every time a home is re-rented, and follow through with marketing, keeping owners informed on a weekly basis, until property is rented.

10. Assist the PM in the following: Check notes; consider rent rate; Rents in current year should go upas the local market indicates, which should be discussed with every owner and documented in notes. Your goal is to maximize owner return on each rental investment property. Update spreadsheets. Then, notify the leasing department that the owner wishes to renew at specific rent.

  • Refer to VP if tenant and owner wish to coordinate a sale together
  • Update property profile and marketing, including photos, in Appfolio software; notify leasing
  • Update all MLS, Showing Assist and Tenant Turner information with property info for re-rents and new properties

Start Date: ASAP

Work Week:

5 days per week, Monday-Friday, 9:00 AM to 5:30 PM, work is at CRS office, not from home, unless directed. This is an Hourly paid non- exempt position. It is understood that daily lunch is to be mid-day and for one hour, or thereabout. skipping lunch to leave early for the day is not acceptable.

Conditions of Employment:

This is an "employment at-will position". Either party may terminate employment at any time. Management reserves the right to terminate this agreement "for cause" for any major violation of stated company policy or illegal activity or action taken that is in violation of FREC or DBPR or NEFAR. All employee associates must agree to follow and sign NARPM Code of Ethics. And various forms in our CRS Employee Manual.

Benefits:

Two Weeks Vacation per year. Additional time off must be approved by management, and assurance of Property Management coverage covered by another employee. Vacation days are determined as follows: one week's vacation is awarded for each six months worked. The Employee Manual contains more specific information.

8 Paid Holidays- New Year's, President's Day, Memorial Day, Independence Day, Labor Day,Thanksgiving, Black Friday, Christmas. There is no additional pay if an employee works on a Holiday.

4 paid sick and/or personal days off per year.

Job Type: Full-time

Pay: Up to $40,000.00 per year
