Position Summary/Purpose of Position:
The IDEA Factory is a new initiative that promotes innovation, collaboration, creativity, entrepreneurship, and interdisciplinary design. This initiative aims to help address society’s grand challenges and provide the skills and experiences necessary for effective problem-solving. Mtech seeks a professional who can enhance the IDEA Factory’s effectiveness, support organizational priorities and goals, manage the daily administration of the Executive Director’s office, and act as an intermediary for executives and constituents. The position serves as a point of contact between the IDEA Factory and Mtech Directors, staff, faculty, leadership offices of UMD, and other members with whom the IDEA Factory interacts. Additional responsibilities include high-level support in preparing and editing correspondences, communications, presentations, reports, and other documents for the Executive Director and the organization. The Executive Assistant manages the Executive Director’s complex schedules, meetings, and business travel and guest travel; develops systems and procedures for various administrative processes; conference room scheduling; processes procurement requests and coordinates the management of projects with various other departments, such as IT and Facilities, and effectively support the work of special projects within the IDEA Factory. This professional-level position offers the opportunity to grow your skill set in developing and executing administrative procedures and critical duties in a unique and innovative atmosphere.

Minimum Qualifications:
Education:
  • Bachelor’s degree or equivalent combination of relevant work experience.
Experience Required:
  • Minimum of 5-7 years of executive-level administrative support and event management, front-line customer service.
  • Experience with accounting and word processing.
  • Proficiency with MS Office, advanced knowledge, and experience with PowerPoint and Adobe Illustrator.
Knowledge, Skills, and Abilities:
  • Excellent organizational, verbal, and written communication skills and attention to detail.
  • Must possess sound judgment, tact, and diplomacy in dealing with various personalities and constituencies internally and across university campuses in a changing department and office environment.
  • A demonstrated ability to remain flexible, calm, and productive in a fast-paced professional environment.
  • Advanced computer skills and demonstrated experience with office software and calendar and email applications.
  • Skilled at developing engaging presentations, utilizing collaboration tools, updating social media posts and websites, and
  • Demonstrated success in taking the initiative and ownership, following through, and completing projects.
  • Must possess excellent customer service and interpersonal skills with the ability to prioritize and multi-task a heavy workload delegating work to others as needed.
  • Ability to routinely and independently exercise sound judgment in deciding complex situations and problems.
