Responsibilities*

The Allied Health Intermediate Supervisor also referred to as the Clinic Coordinator has the responsibility for managing the Periodontics clinic which includes Graduate Periodontics and the Dental Faculty Associates by overseeing three essential functions: General Clinic Oversight, Staff Management and Clinic Finances Oversight. This position is a full time clinic coordinator who manages the day-to-day clinic operations. The successful candidate for this position will be an energetic leader who is passionate about teamwork and teambuilding and excited about working in a fast-paced multicultural academic environment having empathy and compassion with creative problem-solving strategies and innovative ideas.

Clinic Operations Oversight

  • Assist the Clinic Director in managing the Graduate Periodontics Dentistry Clinic/Program
  • Supervision and management of daily clinical operations
  • Ownership of all assigned projects, with emphasis on accountability
  • Enforcement of clinic policies and procedures and compliance assurance i.e., infection control and OSHA standards, calibration of instruments, clinical record keeping and necessary forms
  • Discuss and document patient concerns with the Clinic/Program Director to work to resolve
  • Order capital equipment and ensure equipment is functional and determine when maintenance or replacement is needed
  • Ensure supply ordering and inventory records are being performed judiciously

Resident management:

  • Facilitate onboarding of the new residents yearly: manage clinical credentialing, order materials, facilitate CPR/BLS, process and monitor compliance packets
  • Build clinic schedule, by semester, and be available to residents to facilitate scheduling issues
  • Coordinate electronic health record (Axium) training
  • Work with residents to resolve patient concerns, including guidance with commercial labs
  • Lead clinic huddles
  • Collaborate with other departments to facilitate teamwork and to deliver the best interdisciplinary patient care

Staff management:

  • Execute strong personal management and communication skills to ensure a cohesive, effective and productive team in support of the graduate dental education program; design and implement team building strategies
  • Supervision of Front Desk Staff, Dental Assistants, Dental Hygienists, and other staff as assigned
  • Management of duties including: recruitment, interview, selection and training of employees, planning and directing work, appraising productivity and efficiency (performance management), determining changes in status, handling complaints and grievances and applying disciplinary actions as necessary
  • Cross-train staff so knowledge of clinic operations can be shared and staff can execute multiple functions depending on the clinic needs and changes in work flow
  • Cover clinic, dental assisting, front desk when needed
  • Staff support: commitment to a supportive work environment, where employees have the opportunity to reach their fullest potential. Expected to do the utmost to create a culture that incorporates, and encourages others to provide positive contributions to the workplace

Clinic Finances Oversight:

  • Have a strong knowledge of insurance, Medicaid, understand insurance codes and procedures
  • Assist the Business Administrator with fiscally managing the Graduate Periodontics Dentistry Program
  • Manage patient financial concerns/disputes and commercial interactions with the clinic
  • Oversight of revenue and accounts receivable, including bad debt and collections
  • Monitor prior authorizations and assist Patient Business Associate to facilitate appointments
  • Monitor and assist in resolving Axium email questions from CBO regarding billing issues, interdepartmental concerns and account receivable reports
  • Closely monitor schedule and systems between front desk, providers, and billing to ensure operations are working to maximize dental program revenue
  • Assist in determining financial and productivity goals for the clinic
  • Represent the clinic in school-wide financial meetings to learn and share best practices and stay informed with clinic status and new initiatives; participate in round table meetings
  • Work with the Communications Director on marketing strategies or materials to recruit new patients

Other Duties as assigned

Required Qualifications*

  • Certification as a CDA or RDA
  • BLS certification
  • 1+ year of supervisory experience
  • Excellent judgment and capability to act in a busy environment
  • Excellent organizational and interpersonal skills including the ability to work cooperatively with faculty and staff
  • Detail-oriented, have the ability to set priorities, exercise initiative
  • Work simultaneously on different projects and meet deadlines to produce accurate results
  • Positive customer service-oriented attitude, exemplary work ethic
  • Excellent attendance

Desired Qualifications*

  • Previous supervisory experience in a medical or dental setting is preferred
  • Knowledge of School of Dentistry processes and procedures
  • Familiarity with Dental Stores ordering/inventory system
  • Strong understanding of Axium and experience in generating and interpreting reports
  • Previous experience with digital dentistry and CBCT scans is desired.
  • Experience with clinical research coordination is also desired.
