Job description
The Procurement Specialist is responsible for placing pre-requested orders and creating purchase orders for clinical and non-clinical items for the entire organization. The encumbent in this role is responsible for verifying, preparing, and forwarding purchase orders to the appropriate vendor or department. This includes the verification of the receipt of items and the authorization of payments made. This position will also schedule delivery of products to the corresponding COE and/or parties requesting products. He/she will also work to reconcile any unfilled orders and to build relationships with internal clients as well as external vendors to ensure a positive and ongoing business relationship.
ESSENTIAL JOB DUTIES/RESPONSIBILITIES:
- Verifies purchases requisitions by comparing items to establishes master list, clarifying unclear items and recommending alternatives
- Prepares and process purchase orders by verifying specification and price; obtaining recommendation from suppliers for substitute items; obtaining approval from leader for substitute orders
- Verifies receipt of items by comparing items received to items ordered; resolves shipment in error with suppliers
- Provides Workday business process support
- Resolves issues with suppliers of goods and services.
- Solicits quotes from selected vendors
- Oversees, reviews and finalizes office supply orders
- Maintains accurate and retrievable records.
- Prepares and processes purchase orders
- Coordinates delivery of product
- Performs other duties as assigned and modified at manager’s discretion.
KNOWLEDGE, SKILLS AND ABILITIES:
- Ability to self-organize efficiently and work well independently
- Proven administration & multitasking abilities
- Maintain a professional appearance and demeanor
- Ability to communicate effectively
- Proficient in Microsoft Office Suite products including Word, Excel, PowerPoint, Outlook, and database software
- Ability and willingness to travel locally, regionally, and nationwide up to 10 % of the time
- Spoken and written fluency in English
EDUCATION AND EXPERIENCE CRITERIA:
- High School Diploma
- Associate Degree preferred
- 1-2 years of procurement/ purchasing experience preferred
- Purchasing Reconciliation experience preferred
Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
