Development Coordinator
Job Summary
The Development Coordinator is responsible for creating and managing an effective database infrastructure to support prospect management, donor stewardship, and gift processing. Database management includes providing information and analytics for annual operations, board reports, special gifts, annual campaigns, and special events. The Development Coordinator takes the lead in managing the database processes to ensure data integrity and participates in developing strategies to provide enhanced, accurate, and up-to-date reports to support the agency’s goals. The Development Coordinator is analytical and highly organized, demonstrating experience with collaboratively partnering with others, such as the Marketing and Volunteer Teams to meet objectives. The Development Coordinator is part of the Development team.
Principal Accountabilities
- Serve as the lead point of contact on the donor database.
- Design and executes processes related to database operations, advancement services, prospect research, gifts, and records.
- Guide the process of entering charitable gifts in the donor database to produce meaningful reports.
- Monitor records for completeness and accuracy.
- Oversee biographical data updating donor database.
- Assist the Accounting department with recording and reconciling transactions.
- Manage pledge activity, including acknowledgments, receipts, pledge reminders, and other correspondence as needed.
- Design reports to assist Development Team in creating strategies for prospecting, marketing, mailing lists, e-blasts, etc.
- Produce queries, reports, and mailing lists as needed for various annual and seasonal campaigns, newsletters, and initiatives.
- Produce development reports and campaign materials for Board and Executive Committee meetings.
- Produce thank you letter variations for specific campaigns and programs.
- Manage and maintain accurate and up-to-date data, identify and analyze macro data cuts, and determine the best approach for cleanup.
- Explore further maximization of all features of the database.
- Attend Agency, Departmental, and Committee meetings as it relates to development activity.
- Follow, and review for accuracy, policies and procedures including donation processing policies, procedures, systems, and compliance.
- Support the Development Team as it related to gift entering, tributes, answering the giving line, and more during times of high volume or when colleagues are away.
- Collaborate with members of various departments including Development, Accounting, Volunteers, Marketing, and others as needed.
Education and Experience :
A bachelor’s degree with major coursework in Information Systems, Business Administration, or another relevant field is required along with a minimum of three to five years of related experience. Preference for candidates with related professional experience in a school or non-profit workplace.
Knowledge & Skills
- Technology – Strong technical skills including competency in Microsoft Office with advanced skills in Microsoft Excel, and proficiency in database management e.g., eTapestry, Raisers Edge, or other fundraising/relationship management software.
- Comprehension – Knowledge of fundraising and advancement systems and advancement management procedures.
- Communication – Excellent written and verbal communication skills including report writing, composing, and proofing materials. Strong interpersonal skills with the ability to speak clearly and respectfully to donors and staff on the phone and in person.
- Analysis – Demonstrated competence in records and information management including techniques and principles supporting critical records systems. Understands and utilizes statistics to analyze data responsibly.
- Confidentiality – Maintains a high level of discretion and confidentiality.
- Time Management – Strong attention to detail in establishing priorities, meeting timelines, and efficiently accomplishing duties.
