THE ROLE
The Events Supervisor is primarily responsible for effectively assisting the Event Sales Manager on all View Boston Private Events and Special Events business. Other key responsibilities include serving as day-of contact for private & special events and working closely with internal and external teams (Operations, F&B, executives, clients, vendors). The Events Supervisor should be a professional, team focused, positive individual and will report to the Event Sales Manager.
ESSENTIAL FUNCTIONS
- The Events Supervisor assists the Event Sales Manager with all documentation detailing the technical needs of events, floor plans, schedules, staffing needs, and distributes this paperwork to all responsible parties.
- Manages event logistics and operations, leads day-of coordination and execution of all events booked at View Boston Observatory (load-in, set up, execution, and load out).
- Responsible for preparing all event documentation and coordinating with Events Sales Manager, property departments and the customer to ensure consistent, high-level service throughout pre-event, event, and post-event phases of property events.
- Acts as key liaison between event clients and Event Sales Manager throughout the event process (pre-event, event, post-event), translating client needs into successful events.
- Strong organizational and communication skills to ensure flawless event execution, enabling the team to meet and exceed their sales goals.
- Ensures property events have a seamless turnover from sales to service back to sales.
- Recognizes opportunities to maximize revenue opportunities by up-selling and offering enhancements to create outstanding events.
- Ensures that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy.
- Adheres to all View Boston standards, policies, and procedures.
- Ensures billing accuracy and conducts bill review with the clients prior to processing the final bill.
- Identifies operational challenges associated with his/her group and determines how to best work with the property staff and customer to solve these challenges\ and/or develop alternative solutions.
- Uses his/her judgment to integrate current trends in event management and event design.
- Participates in customer site inspections and assists with the sales process as necessary.
- Delivers excellent customer service throughout the event experience and encourages the same from other employees.
- Empowers employees to provide excellent customer service, uses personal judgment and expertise to enhance the customer experience.
- Responds to and handles guest problems and complaints. Sets a positive example for guest relations. Makes presence always known to customer during this process.
- Stays available to solve problems and/or suggest alternatives to previous arrangements.
- Works to continually improve customer service by integrating obtained feedback and personal judgment into action plans. Interacts with guests to obtain feedback on product quality and service levels.
- Oversees his/her customer experiences from file turnover through the post event phase until turnover back to sales manager.
- Coordinates and communicates event details both verbally and in writing to the customer and operations.
- Emphasizes guest satisfaction during all departmental meetings and focuses on continuous improvement.
- Ensures hourly employees understand expectations and parameters for event activities.
- Conducts formal pre- and post-event meetings as required to review/communicate group needs and give feedback to Event Sales Manager.
- Performs other duties as assigned by Event Sales Manager to meet View Boston business needs.
QUALIFICATIONS

- Bachelor’s Degree in a related area of study preferred.
- Excellent communication and interpersonal skills — diplomatic, tactful, customer-focused with a professional phone manner and ability to interact with a variety of clients.
- A strong client relations background with outstanding customer service skills
- Proficient in Microsoft Office (Excel, PowerPoint, Outlook, Teams).
- Familiarity with TripleSeat and SocialTables platforms a plus.
- Able to simultaneously manage a high level of detail across multiple projects.
- Strong organizational skills and ability to multitask, prioritize, and manage stressful situations.
- Detail-oriented with excellent follow-through.
- Ability to have continuous oral and written communication with clients, co-workers and Manager is essential
- Able to work independently and manage time effectively.
- Able to maintain customer confidentiality and work well within a team environment.
