OVERVIEW

The Executive Administrative Assistant for the Refinery will report directly to Operations. The person in this role will independently handle a wide range of administrative and support related tasks with little supervision, must be exceedingly well organized, detail-oriented, flexible, and enjoy the administrative challenges of supporting a site-wide team of diverse people and programs. The successful incumbent will also have excellent communication and computer skills with ability to interact with staff (at all levels) in a fast-paced, deadline driven environment. This role also requires the ability to remain calm in high-pressure situations while being proactive, resourceful, and efficient and maintain a high level of professionalism, confidentiality, and integrity in dealing with sensitive information.


DETAILED ROLES & RESPONSIBILITIES

  • Responsible for managing VP’s daily calendar, meeting invites, scheduling Operational Excellence monthly reviews and quarterly Exec reviews. Scheduling travel and managing travel interruptions. Completing expense reports and coordinating site meetings, lunches, dinners, etc.
  • Responsible for managing Plant Manager’s daily calendar, meeting invites, conference room schedules, etc. Scheduling travel and managing travel interruptions. Completing expense reports and coordinating site meetings, lunches, dinners, etc. Also to include coordinating operational support activities with SLT members.
  • Assist Directors/Managers from other locations to organize meetings/events.
  • Coordinating special projects such as Holiday parties, Family day events.
  • Manage the Global Recognition monthly program and communications
  • Responsible for coordinating and scheduling package and mail delivery with both internal and external client groups and assistants and consultants to coordinate a variety of functions.
  • Schedules appointments, composes and types correspondence for site communications, reads and routes incoming mail, and performs other administrative and clerical duties necessary for Refinery Operations
  • Coordinates customer site visits and/or customer audits
  • Report out weekly EHSSQ contact and training activities/completion
  • Manages Corporate Passes (aquarium, Science center, etc.)
  • Works with word processing, spreadsheet and database software to complete administrative tasks
  • Handles sensitive and confidential information
  • Assists the team with preparation of presentation materials
  • Prioritizes and manages multiple special projects simultaneously
  • Administration/management of the uniforms; ordering and distribution. Responsible for meeting with uniform sales person at every pick up/drop off to confirm and sign off on invoices for items received. Review & sign-off on invoices, account for items dropped off, items in need of repair, items returned due to terminated employees.
  • Coordinates safety shoe orders and refunds out of pocket safety shoe allowance to employees
  • Manages the storing and retrieving of records and boxes from outside storage
  • Responsible for staging and resetting common areas
  • Performs other duties as assigned


REQUIRED EDUCATION AND EXPERIENCES

  • High School Diploma or GED equivalent with a minimum of 3 years (7+ years) of professional experience in administrative support industrial operations OR Bachelor’s Degree from an accredited institution with a minimum of 1 year of professional experience
