Executive Administrative Assistant - Student Enrollment Services
Job description
Reporting to the Vice President and Dean of Student and Enrollment Services, the Executive Administrative Assistant is responsible for the administrative operations of Student and Enrollment Services (SES) division to ensure up-to-date calendar, timely response to inquiries, coordination of meetings completion of projects as needed and other office administration functions for SES.
Essential Functions
- Manage agendas/travel arrangements/appointments etc., for the Vice President of SES and SES leadership.
- Provide administrative support to the Director of Admissions as needed.
- Ensure the consumer information page on Moody.edu is up to date and the various links are working.
- Inventories, orders, and stocks office, kitchen, and printer supplies for departments within SES.
- Take diligent notes as requested at meetings; proactively manage follow-ups from the meetings.
- Assist in document and presentation creation using Microsoft PowerPoint and Excel.
- Provide administrative and clerical support to managers within SES, including but not limited to:
- Process paperwork related to the hiring, transfer, and departing of employees including requests for new positions, changes to existing positions, or continuing positions
- Liaise with Facilities, Information Technology Services, Human Resources, and Food Service as they relate to SES.
- Facilitate completion of various projects such as physical changes to SES office spaces, moves, computer requests and technology support services for full- and part-time staff.
- Process financial requisitions such as invoices and check requisitions.
- Coordinate all departmental functions/events/meetings including annual retreats, and division meetings.
- Perform other duties as assigned.
Minimum Requirements
- Bachelor’s Degree
- Two or more years of work experience in an office environment in providing administrative support.
- Competency in prioritizing and working with little supervision.
- Self-motivated and trustworthy.
- Conscientious attention to detail in the midst of multi-tasking.
- Outstanding written and oral communication skills.
- Team player who can work with multiple personalities represented on the SES team.
- Willingness to sign a Non-Disclosure Agreement given potential access to confidential information.
- Proficiency with Adobe Acrobat, Word, Outlook, PowerPoint, and Excel.
- Authorized to work in the US legally without sponsorship
Preferred Requirements
- Administrative experience in a Higher Education setting.

This is a Full-Time position: Hours vary, M-F
No travel is expected for this position.
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
