Job Summary

The Facilities Manager interacts with customers, provides information about the organization’s services, and may respond to customer complaints as needed. This role devises strategies and policies to ensure that an organization meets its goals by planning, directing, and coordinating daily operational activities. Problem-solving is required to identify issues and recognize shortcomings and effectively carry out solutions. The Facilities Manager will assess different options and choose the best course of action, often on a daily basis. This opportunity has a significant 'project management' /'space planning and implementation' component when it comes to space planning for the 'future of work'. As our world continues to shift, space planning is critical to ensure we can better accommodate collaboration. He or she, must be able to communicate clearly and persuasively to effectively discuss issues and negotiate with others, and explain their policies and decisions to those within and outside the organization. They will take a hands-on approach and perform various tasks within the Facilities, as well as direct the maintenance and repair of the buildings and equipment including HVAC, general maintenance and renovation.

PRINCIPLE DUTIES

  • Inspect facility and generate reports as required.
  • Effective management of onsite cafeteria and gym as key areas of oversight
  • Assist in planning best allocation and utilization of space and resources, re-organizing current premises, etc.;
  • Prepare documents for maintenance and vendor selections, calculating and comparing costs for required goods and/or services to achieve maximum value. Ensures vendors meet strict compliance requirements of our client.
  • Ensure that all in-house and contracted personnel are appropriately trained for the work they are performing.
  • Achieve Budget/Financial Responsibilities
  • Assist in coordination of projects with property management teams as required at various properties;
  • Inspects work by contractors, vendors or team members has been completed satisfactorily and follow up on any deficiencies.
  • Perform facility safety and general condition walk thru and identify problems areas, follow thru on rectifying those problems, maintain logs, etc.
  • Ensures Shipping/Receiving and mail is delivered in a timely manner and is traceable.
  • Oversight of confidential document shredding program.
  • Position includes responsibility to ensure landscaping and grounds are maintained as designed.
  • Coordinate with IT, department and various other groups as required
  • Assist with internal moves, new hire/visitor set ups, etc.
  • Manage general activities related to enhancing work performance and providing services
  • Promote responsibility for safe and controlled work environments
  • Ensure that all complaints, emergencies, and/ or escalations are handled professionally, appropriately, and in a timely manner
  • Look for efficiencies, opportunities to improve business and operational performance

REQUIREMENTS

  • Bachelor’s degree in Facilities Management, Engineering or Business Administration preferred and/or equivalent related work experience.
  • 4+ years of supervisory or managerial experience within the Facilities Management Industry Required
  • GMP experience a plus
  • Bilingual (English/Spanish) preferred
  • Strong computer proficiency skills (Excel, Word, PowerPoint)
  • Must be able to read construction documentation, understand operation of HVAC Systems; electrical equipment; plumbing; security systems, etc.
